Administrative & Accounting Assistant

Monday-Friday, 8am-5pm

$23/hr+ DOE

We are currently seeking a detail-oriented and proactive Administrative & Accounting Assistant to join our dynamic team.

 

Job Summary: The Administrative & Accounting Assistant will be responsible for a variety of administrative and accounting tasks, including answering phones, managing Sage ERP, handling deposits, filing, invoicing, accounts payable (A/P) and accounts receivable (A/R), managing delinquent invoices, handling CODs, tagging invoices, and implementing suggestions for process improvement. The ideal candidate will have 2-3 years of accounting experience and a background in the car, automotive, or aviation industry is preferred. This role does not involve payroll processing, except for some check printing once a week. The position offers a consistent workflow and opportunities for professional growth.

 

Key Responsibilities:

  • Answer and direct phone calls in a polite and professional manner

  • Manage and maintain Sage ERP system

  • Process deposits and manage filing systems

  • Handle invoicing, accounts payable, and accounts receivable

  • Manage delinquent invoices and CODs

  • Tag invoices accurately and efficiently

  • Implement suggestions for improving accounting and administrative processes

  • Print checks once a week

  • Ensure consistent workflow and manage multiple tasks effectively

Qualifications:

  • 2-3 years of accounting experience

  • Experience with Sage ERP is required

  • Familiarity with the car, automotive, or aviation industry is preferred

  • Strong organizational and multitasking skills

  • Excellent communication and interpersonal skills

  • Detail-oriented and able to work independently

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)
