Administrative Assistant, Brand Development
$25-$35
- Project Coordination
- Support the Manager in administration of Marketing and Communications project workflow and interacting with stakeholders
- Monitor incoming project requests
- Advisor and Employee Onboarding
- Coordinate Marketing and Communications logistics related to advisor team and employee onboarding
- Interface with vendors and internal stakeholders in support of onboarding deliverables
- Internal Site Administration
- Manage daily functions of new (in development) internal communications website for all firm stakeholders
- Maintain currency of collateral libraries
- Monitor communications across site
- Event Coordination
- Assist the Manager with coordination and scheduling of in-person and virtual events
- Serve as central point of coordination for internal and external stakeholders on all logistics for in-person and virtual events on behalf of advisors and the firm
- Serve as the central point of coordination for the firm’s annual conference
- Branded Merchandise
- Serve as the central point of coordination for the firm on all branded merchandise, both “inventoried” items and special order
- Assist with inventory management
- Interface directly with vendors in this vertical
- Ad-hoc Administrative Matters
- Support the team Manager and Director in any and all administrative tasks as assigned
Key Interactions:
- Must be able to interface on a daily basis with various stakeholders across the firm and externally who have differing needs/priorities
- Coordinate with the Marketing and Communications team and with Compliance to ensure regulatory guidelines are adhered to across all event and merchandise marketing efforts
This is a mission-critical, high-visibility role within a growing national wealth management firm. Punctuality, professionalism, and attention to detail are crucial for success. Must be exceptionally organized and able to balance multiple demands from internal and external stakeholders on a daily basis. Ability to listen and assess project/task scope and act accordingly is a must.
KEY SKILLS
- Degree in Business, Marketing, or Communications strongly preferred
- Must be a “super user” of Microsoft Office 365: Word, Excel, PowerPoint, Outlook, etc.
- Experience with Monday or a similar project management platform strongly preferred
- Experience with WordPress strongly preferred
- Experience with a high-end brand and related merchandise branding desired
- Familiarity with omnichannel CMS systems would be helpful
- Ability to manage multiple projects/tasks simultaneously and work across functional areas
- Ability to communicate effectively with multiple internal and external stakeholders
- Must be proficient in time management
- Must have excellent organizational skills
- Attention to detail is indispensable
