Job Title: Executive Assistant to the CEO

Job Type: Full-Time

Well-established, family-owned construction and rental property company that prides itself on delivering high-quality service and fostering a collaborative work environment. We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive support to our CEO. This role offers the opportunity to work closely with the leadership team, manage critical projects, and assist in driving business success within the company’s dynamic operations.

Key Responsibilities:

  1. Executive Support:
    • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
    • Serve as the primary point of contact for internal and external stakeholders on behalf of the CEO.
    • Prepare and review documents, reports, and presentations for CEO meetings.
    • Handle confidential and sensitive information with discretion and professionalism.
  2. Project Management:
    • Assist the CEO with various ongoing projects, ensuring timelines and objectives are met.
    • Coordinate between departments to ensure smooth workflow and communication.
    • Track project progress, prepare reports, and address any roadblocks.
  3. Administrative Tasks:
    • Handle all incoming calls, emails, and mail, prioritizing urgent matters and drafting responses when necessary.
    • Organize and manage files, records, and documents to ensure easy access and efficient retrieval.
    • Assist in the preparation of financial documents, budgets, and expense reports.
  4. Communication:
    • Serve as a liaison between the CEO and staff, clients, contractors, and other key business partners.
    • Ensure timely and effective communication on behalf of the CEO, including drafting memos, emails, and internal communications.
  5. Event Coordination:
    • Plan and organize company events, meetings, and other CEO-related activities.
    • Assist with logistics, venue booking, and coordination of attendees and resources.
  6. Operational Support:
    • Coordinate between different teams to ensure the CEO has all necessary resources for successful project execution.
    • Handle day-to-day operational needs as directed by the CEO.
    • Manage vendor relationships and monitor the status of ongoing contracts.

Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role, ideally within the construction or real estate industry.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Ability to maintain confidentiality and exercise sound judgment.
  • A proactive and adaptable approach to problem-solving.
  • Strong attention to detail and accuracy.
  • High school diploma required; Bachelor’s degree preferred.
  • Experience with construction project management software and property management systems is a plus.
