Express is recruiting for a full-time Procurement & Accounts Payable candidate. Picture yourself in a professional office setting with a high-quality, very determined team. 

 

Key Tasks

  • Accurately review, code, obtain approval, and process vendor invoices
  • Process payments via checks, credit card, and ACH
  • Maintain a large number of vendor accounts
  • Perform data entry associated with accounts payable
  • Review and reconcile invoice discrepancies
  • Audit and process credit card bills
  • Research and respond to vendor inquiries
  • Prepare vendor 1099-NEC forms annually
  • Create and maintain Excel spreadsheets for project & utility tracking
  • Maintain digital and hard-copy files

Essential job functions:

  • 80% Procurement of Commodities and Services

    • Drafting & executing SPF requisitions in P2P
    • Assist in development and review of Sole Source/Brand Justifications
    • Document, interpret, and communicate policies and procedures for edification of customers and suppliers.
    • Process orders for goods and services 
    • Develop spreadsheets and other documents to support analysis.
    • Relationship management - both with suppliers, and customers/end users, facilitate trainings, etc.
    • Analyze, evaluate and process departmental requisitions.
    • Resolve conflict between providers and end-users.
    • Identify opportunities to negotiate and competitively procure cost saving alternatives.
    • Work with requesters in developing specifications which are cost effective and not unduly restrictive.
    • Follow established procedures, policies and guidelines.
    • Prepare and issue request for formal or informal quotes, invitations for bids, and requests for proposals for goods and services.
    • Follow up on orders to expedite orders overdue for delivery or completion of service.
    • Process agreements for professional services and equipment maintenance.
    • Review Procurement Card purchases for appropriateness.
    • Attend staff meetings, works in collaboration with other units to ensure proper implementation of pertinent policies, procedures, and programs.
    • Achieve benefit (cost savings, cost avoidance, revenue generation, etc.)
    • Assist in the development and implementation of the department policies and procedures.
    • Administrator for Procure to Pay and CSUBUY.
    • Assist in maintenance of appropriate website resources.
    • Compete monthly purchase reconciliation for organization’s master purchasing card.
  • 10% Consultation
    • Interact with grant personnel and suppliers to problem solve procurement issues to include payment disputes, delivery or completion of services.
    • Advise and give recommendations to campus personnel on the procurement of commodities/services, business process and other areas more technical in nature.
  • 10% Other Duties as Needed

 

 

Minimum qualifications required to perform all essential functions:

 

Background in areas such as procurement or accounts receivable or other administrative or financial management.

 

Equivalent to a 2-year associate’s degree or certification in purchasing, marketing, accounting, business, or other appropriate field. Experience which has demonstrated that the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year-for-year basis.

 

 

Schedule & Location

Monday - Friday in Arcata

 

Compensation

Pay rate is $22 to $25 per hour.
