Job Full Description

Express Employment Professionals is seeking an Office Assistant. The Office Assistant will provide essential administrative and financial support to ensure the smooth operations of the country club. This position is responsible for handling accounts payable (A/P), accounts receivable (A/R), balancing daily reports and funds turned in by departments, preparing bank deposits, answering phones, managing mail, and addressing member inquiries. The ideal candidate is organized, detail-oriented, and customer-focused, with strong interpersonal and technical skills.

 

Pay: $18-$20

Schedule: Tues-Friday - Flexible hours 10am-4pm & 9am-3pm

Duties: 

Administration

  • Provide excellent customer service by greeting members, visitors, and employees.
  • Answer, screen, and direct phone calls to the appropriate departments.
  • Receive, distribute, and manage mail, documents, packages, and courier deliveries.
  • Perform clerical tasks such as filing, writing letters, and drafting memos.
  • Maintain an up-to-date member roster and member files.
  • Address member issues with professionalism and follow through to resolution.
  • Review timesheets and assist with payroll processing.

Accounts Receivable (A/R)

  • Prepare, post, verify, and record customer payments and related transactions.
  • Balance daily reports and funds turned in by various departments.
  • Update customer accounts with new payment or contact information.
  • Prepare daily bank deposits and create financial reports for the General Manager.

Accounts Payable (A/P)

  • Manage accounts payable using accounting software and other tools.
  • Input weekly invoices and reconcile vendor statements monthly.
  • Process invoices for payment and ensure timely payments to vendors.
  • Generate accounts payable reports for the General Manager.

Other Duties

  • Attend all required employee meetings and training sessions.
  • Support and uphold all company policies, Standard Operating Procedures, and the service philosophy.
  • Perform duties and responsibilities (Essential Job Functions) with or without reasonable accommodation.
  • Undertake additional tasks as assigned.

Education and Work Experience Requirements

  • Previous experience in a receptionist, customer service, or office support role.
  • Prior experience with accounts payable and accounts receivable functions.
  • Proficiency in balancing daily reports and managing bank deposits.
  • Strong interpersonal communication skills with the ability to handle member issues effectively.
  • Proficiency in basic computer skills, including Microsoft Word and Excel.
