Job Full Description

SUMMARY:  Oversees all transactions with regard to general accounting functions, administration of payroll, benefits, and company insurance programs.  Assist in all government reporting requirements and overall office administration.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following as well as other duties and responsibilities that may be assigned. 

 

BOOKKEEPING/ACCOUNTING (Approximately 75% of Time)

·        Complete responsibility of all general ledger transactions, including financial statement.

·        Accounts receivables to include collections.

·        Accounts payable all phases to include reconciliation of all vendor statement and ensure timely payments.

·        Reconcile bank accounts and make daily deposits.

·        Manage the payroll reports/journals for accuracy.

·        Maintain accurate records and reports of employee’s vacation and sick time accruals and usage.

·        Maintain timely loan/equipment payments.

·        Coordinate and work with CPA for year-end financial needs.

·        Prepare and file appropriate year-end 1099’s and other required federal and state reporting.

·        Work with Stefanie-CEO, to update Health, Dental, Vision, Worker’s Compensation, Liability, Auto, Life/Key Employees, etc.

 EMPLOYEE BENEFITS (Approximately 10% of Time)

·        Administer Simple IRA plan.

·        Administration of health insurance, reimbursements and management of billing.

·        Administration of dental and vision benefits and management of billing.

·        Administration of workers compensation billing and audit information.

·        Keep all insurance carriers updated with employee and required life event changes.

ADMINISTRATIVE DUTIES (Approximately 15% of Time)

·        Create and handle professional correspondence for President as needed.

·        Keep auto insurance carriers updated with driver and vehicle changes.   

·        Maintain all vehicle records including DMV and certificates of insurance.

·        Manage and maintain various agency permits, business licenses and government agency reporting and payments, sales tax reports and payments.

·        Provide friendly assistance to accounting questions and office support staff, including assisting with answering phones occasionally.

·        Must be computer literate and familiar with advanced MS Word, MS Excel applications

EDUCATION and/or EXPERIENCE

·        Bachelor’s degree (B.A./B.S.) from four-year college or university preferred, with a degree in Accounting/Business helpful; and five years related experience as full charge bookkeeper with benefits administration and payroll experience; or equivalent combination of education and experience.

OTHER SKILLS and ABILITIES

·        Must have excellent computer and Microsoft office suite experience.  Expert excel user ability is a must.

·        Must have the ability to quickly learn specific software.  Expert QuickBooks user ability is a must.

·        Must have knowledge of HIPPA compliance.

·        Ability to keep company sensitive/private information and protected employee matters confidential.

·        Must have some previous payroll and benefits administration experience.

·        Must be well organized, a self-starter, and possess excellent telephone communication skills.

·        Must possess exceptional written and verbal communication skills.

·        Must be able to multitask and prioritize in accordance with changing deadlines and prioritizes.

·        Working knowledge of efficient filling systems, office machines and equipment.

·        Must be able to make sound independent decision based on available data.

·        Must be eve-tempered and team spirited-a good sense of humor is desirable.

·        Must be able to work with a variety of personalities in an effective manner.

Must have excellent experience with administrative matters, i.e., Insurance and reports.
