Job Full Description
Express Employment Professionals is s seeking a highly organized and detail-oriented Front Office Administrator for a reputable production manufacturing company in Placer County. The ideal candidate will be responsible for answering multi-lined phones, managing the logistics of truck arrivals and deliveries, and providing overall administrative support to ensure smooth operations in the office and across departments. This position also involves handling purchase orders, processing accounts payable, managing inventory, and assisting with guest coordination for factory tours.
Key Responsibilities:
• Filing & Organization: Maintain and organize physical and electronic files in an efficient manner to ensure quick access to necessary documentation.
• Phone Management: Answer incoming calls, direct them to appropriate personnel, or handle basic inquiries as needed.
• Truck Screening: Screen trucks arriving for deliveries or pickups at the facility, ensuring they follow proper procedures and safety protocols.
• Purchase Order Entry: Enter purchase orders into the system, ensuring accuracy and timely processing.
• Accounts Payable: Process vendor invoices and track monthly bills using Excel to ensure timely payments and accurate financial records.
• Inventory Management: Monitor and maintain inventory levels of office supplies and PPE (personal protective equipment) in stockrooms, and reorder as necessary.
• General Office Support: Provide administrative assistance with various tasks as needed, ensuring smooth day-to-day office operations.
Qualifications:
• High school diploma or equivalent
• Proven experience in administrative roles, with strong organizational and multitasking skills.
• Minimum of 1 year assisting with accounts payable (processing invoices, tracking monthly bills, etc.) is required.
• Experience working with purchase orders (creation, tracking, and processing) is required.
• Strong proficiency in Microsoft Excel (knowledge of basic functions such as data entry, tracking, and sorting is essential).
• Ability to handle sensitive information with discretion and professionalism.
• Excellent communication skills (verbal and written).
• Ability to work independently and as part of a team.
• Strong attention to detail and ability to manage multiple tasks simultaneously.
• Experience in logistics, inventory management, or accounts payable is a plus.
Physical Requirements:
• Ability to sit or stand for extended periods of time.
• Some light lifting may be required for inventory management (up to 20 lbs).
Work Environment:
• Office-based with occasional interaction with warehouse or factory personnel.
