Job Full Description
We are seeking a highly organized and detail-oriented individual to join our team as an Accounts Receivable Specialist based in Sacramento, CA. In this role, you will be responsible for managing and maintaining accurate financial records of customer accounts, ensuring timely collection of outstanding payments, and providing excellent customer service. The ideal candidate will possess strong analytical skills, exceptional attention to detail, and a proven ability to work effectively in a fast-paced environment.
What you will be doing:
Account Management:
· Maintain accurate and up-to-date customer accounts, including contact information, payment terms, and credit limits.
· Monitor customer accounts for outstanding balances, identify delinquent accounts, and take appropriate actions to resolve outstanding issues.
· Perform account reconciliations, investigate discrepancies, and resolve billing disputes in a timely manner.
Invoicing and Payment Processing:
· Generate accurate and timely invoices for goods and services rendered.
· Coordinate with internal departments to ensure invoices are properly authorized and submitted to customers.
· Process and post customer payments, including checks, electronic transfers, and credit card transactions.
· Reconcile payment discrepancies, identify unapplied payments, and take corrective actions as necessary.
Collections:
· Implement collection strategies to ensure timely receipt of outstanding payments.
· Contact customers via phone, email, or mail to follow up on overdue invoices and resolve payment issues.
· Provide exceptional customer service by addressing customer inquiries, resolving disputes, and negotiating payment plans when necessary.
· Maintain accurate and detailed collection notes and records for each customer account.
Reporting and Analysis:
· Prepare and distribute regular reports on accounts receivable status, aging analysis, and collection efforts to management.
· Analyze and interpret financial data to identify trends, potential risks, and opportunities for process improvement.
· Collaborate with the finance team to forecast cash flow and support financial planning and budgeting activities.
What we’re looking for:
· Proven experience working in accounts receivable or a similar financial role.
· Strong understanding of accounting principles and financial processes.
· Proficient in using accounting software and MS Office applications, particularly Excel.
· Exceptional attention to detail and accuracy.
· Strong communication and interpersonal skills to effectively interact with customers and internal stakeholders.
· Ability to prioritize tasks and work efficiently in a deadline-driven environment.
