Job Description: Front Office Coordinator (FOC)
Pay Rate: $22.00 - $24.00 per hour
Summary:
The Front Office Coordinator (FOC) plays a crucial role in ensuring exceptional customer service and operational efficiency. The FOC is responsible for direct client interaction via phone, scheduling pickups, deliveries, and on-location cleaning services. This role reports directly to either the Office Manager or the President and is an integral part of the company's success.
Key Responsibilities:
Key Area 1 – Customer Service:
- Answer incoming calls to address service inquiries and efficiently schedule technicians for pickups, deliveries, or on-location cleaning services.
- Accurately perform data entry into the Camelot system, following procedures from technician invoices.
- Conduct follow-up calls to clients regarding services, ensuring satisfaction with on-location services, upholstery, drapes, or area rug services performed.
- Utilize email for effective correspondence regarding the range of services offered.
- Provide assistance to incoming clients and employ the paging system to notify staff of client arrivals.
Key Area 2 – Additional Office Duties:
- Generate various Camelot reports as requested by the Office Manager or President.
- Prepare bids for services in accordance with company standards and utilizing official letterhead.
- Process and settle credit card transactions.
- Handle check processing and facilitate bank deposits.
- Manage procurement of office and plant supplies.
- Engage in phone networking and soliciting activities.
- Maintain front office equipment, including tasks such as changing ink cartridges and replenishing paper.
- Assist with graphic design tasks as required.
- Undertake cleaning duties such as sweeping, vacuuming, and maintaining bathroom cleanliness.
- Fulfill any additional duties assigned by the President or Office Manager, adapting to the evolving needs of the company.
Key Area 3 – Staff Interaction:
- Effective collaboration with colleagues and managers is paramount.
- Maintain a professional demeanor at all times to promote a cohesive and teamwork-oriented atmosphere.
- Identify and report any challenges or issues to your direct manager for resolution, escalating as necessary.
Key Area 4 – Phone Communication Systems Knowledge (Desirable):
- Demonstrate knowledge of both fixed landline phone systems and cell phone systems, aiding effective communication within the company.

Qualifications and Requirements:
- High school diploma or equivalent; relevant college education is a plus.
- Excellent verbal and written communication skills.
- Proficiency in data entry and computer applications.
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize in a fast-paced environment.
- Previous customer service experience preferred.
- Familiarity with phone communication systems (both fixed and cell) is advantageous.
- Must be a team player with a positive attitude and problem-solving abilities.
