Express is partnering with a reputable local company in search of an experienced Office Manager.
Job Summary:
Client is seeking a highly organized and self-motivated Office Manager to join the team.
The ideal candidate will have experience with QuickBooks Online and Service Titan, and will be responsible for managing accounts receivable and payable, creating invoices, handling customer calls, and supporting the overall operations of the business. This role requires someone who can work independently, manage multiple tasks efficiently, and blend well with our small office team.
Key Responsibilities:

- Accounting and Financial Management
- Manage accounts receivable and payable using QuickBooks Online.
- Create and send approximately 10 to 15 invoices daily to clients.
- Track and follow up on outstanding invoices to ensure timely payment, with a focus on net 30 terms for property management companies and due upon receipt for other clients.
- Reconcile bank statements and financial records.
- Prepare financial reports and summaries as needed.
Customer Service:
- Handle incoming customer calls, averaging 20 to 30 calls on busy days and 5 to 6 calls on slower days.
- Schedule and coordinate service appointments.
- Provide exceptional customer service and resolve any issues or concerns.
- Follow up with customers to ensure satisfaction and address any additional needs.
Office Administration:
- Maintain organized and accurate records of all transactions and communications.
- Order and manage office supplies and equipment.
- Ensure the office environment is clean, organized, and conducive to productivity.
- Assist with the preparation of documents, reports, and presentations.
Operational Support:
- Coordinate with field staff to ensure smooth operations and communication.
- Support the operations director and other team members as needed.
- Assist in the development and implementation of office policies and procedures.
- Participate in team meetings and contribute to the continuous improvement of office processes.
Qualifications:
- Proven experience with QuickBooks Online and Service Titan.
- Strong understanding of accounting principles and financial management.
- Excellent organizational and multitasking skills.
- Exceptional customer service and communication abilities.
- Ability to work independently and take initiative.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- High level of accuracy and attention to detail.
- Ability to handle a busy work environment with fluctuating call volumes.
- Previous experience in a similar role within a service or construction business is preferred.
Work Schedule:
- Monday through Friday, 8:00 AM to 4:30 PM.
