Job Full Description
We seek an organized and detail-oriented Administrative Assistant to provide comprehensive administrative support to our Construction team. The ideal candidate will have a strong understanding of construction terminology and processes and be able to effectively manage multiple projects simultaneously. Experience working with architects, general contractors, vendors, and sub-contractors is a plus.
Responsibilities:
- Provide administrative support to the Project Management team, including scheduling appointments, preparing agendas, and taking minutes at meetings.
- Create and maintain project files, including contracts, RFIs, submittals, and correspondence.
- Prepare and distribute project reports, such as daily reports, status reports, and closeout reports.
- Track and manage project budgets, including expenses, invoices, and change orders.
- Process purchase orders and requisitions.
- Order and maintain office supplies.
- Answer phones and emails promptly and professionally.
- Provide general office support, such as photocopying, scanning, and faxing.
Qualifications:
- High school diploma or equivalent.
- 2+ years of experience as an Administrative Assistant or in a similar role.
- Strong understanding of construction terminology and processes.
- Excellent organizational and time management skills.
- Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Ability to work independently and as part of a team.
- Excellent communication and interpersonal skills.
