Job Full Description
We are seeking a professional, organized, and friendly Receptionist with a construction background to join our team. The ideal candidate will have a background in construction or experience working in a similar industry. This role is crucial to maintaining the smooth operation of our office and ensuring a welcoming environment for clients, vendors, and staff.
Key Responsibilities:
- Reception Duties: Greet and assist visitors, answer and direct phone calls, and manage incoming and outgoing correspondence (email, mail, packages, etc.).
- Administrative Support: Assist with scheduling meetings, maintaining calendars, and preparing reports and documents.
- Office Management: Ensure the office is organized and stocked with necessary supplies, coordinate maintenance or repair requests, and maintain a clean and professional workspace.
- Data Entry: Maintain accurate records, such as project documentation, invoices, and employee time tracking.
- Construction-Specific Tasks:
- Assist with permits, bids, and other project-related documentation.
- Maintain records for construction projects, including contracts, plans, and schedules.
- Coordinate with subcontractors, suppliers, and field teams.
- Client Relations: Provide excellent customer service to clients, subcontractors, and vendors, ensuring all inquiries are handled promptly and professionally.
- Compliance and Safety: Support compliance with safety and industry regulations by maintaining documentation and scheduling training or certifications when needed.
Qualifications and Skills:
- Prior experience in a receptionist or administrative role within the construction industry is preferred, but not required.
- Excellent communication and interpersonal skills with a friendly and professional demeanor.
- Strong organizational and multitasking abilities, with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiar with construction management software (e.g., Procore, Bluebeam) is a plus.
- Knowledge of construction terminology and processes is highly desirable.
- Ability to handle confidential information with discretion.
Education and Experience:
- A high school diploma or equivalent; additional certifications in office administration or construction management are a plus.
- Minimum of 3 years of experience in a receptionist or office support role, preferably in the construction or related industry.
Working Conditions:
- Primarily office-based, with occasional visits to project sites or vendor locations as needed.
- Full-time position, Monday through Saturday, from 10 AM to 5 PM.
