Position Overview:
Administrative/Personal Assistant to support the owner of a local industrial marine company. This role is ideal for someone who thrives on organization, time management, and problem-solving and is prepared to juggle multiple responsibilities across business and personal domains. The owner of this company is also part-owner of multiple businesses in equipment rental, construction, and steel sales, giving the ideal candidate a dynamic and varied workload.
You will play a key role in ensuring the owner’s work and personal life run smoothly by taking ownership of administrative tasks and occasionally acting as a personal assistant. The position will require strong technical skills, the ability to manage priorities independently, and a proactive attitude. Federal permitting experience preferred!
Responsibilities
1. Administrative Support
• Serve as a reliable point of contact for all business-related matters.
• Effectively manage schedules, ensuring meetings, events, and travel arrangements are
planned and executed seamlessly.
• Coordinate with other staff members, including providing guidance to the current part time administrative assistant if necessary.
• Handle correspondence, including emails, phone calls, and memos, while maintaining
professionalism and discretion.
• Maintain organized records and filing systems.
• Handle confidential information with care.
2. Office Management and Technical Proficiency
• Utilize Microsoft Office Suite, including Excel, to maintain records, budgets, and reports.
• Solve technology-related issues independently and assist with introducing AI-supported
process improvements as needed.
• Develop and monitor task lists, meeting minutes, and systems to ensure streamlined and
efficient operations.
3. Social Media and Online Presence
• Manage and update company social media platforms, ensuring timely and professional
posts align with the brand.
• Leverage social media platforms to promote offerings from Modern Marine and its affiliate
businesses.
4. Personal Assistant Tasks
• Provide occasional support on personal matters to ensure work-life balance is maintained.
• Handle tasks such as reminders, minor household affairs management, or other daily
logistics.
• Liaise with accountants as needed.
• Run errands and manage ad hoc personal requests.
5. Strategic Coordination & Problem Solving
• Take initiative to address challenges as they arise, ensuring quick and effective
resolutions.
• Troubleshoot unexpected issues as they come up, offering practical solutions.
• Adapt to handle diverse business and personal demands that may stem from multiple
industries.
6. Confidentiality and Discretion
• Maintain professionalism and trust when handling both business and personal matters.
• Ensure sensitive information is treated with the highest level of confidentiality.
Qualifications and Requirements
• Prior experience as an Administrative or Executive Assistant is required.
• Strong technical proficiency, with expertise in Microsoft Office Suite (Excel, Word, Teams,
etc.).
• Prior experience with social media management and creating posts.
• Excellent time management and organizational skills.
• Self-starter with a demonstrated ability to work independently and solve problems.
• Adaptable and capable of handling new tasks and responsibilities as they develop.
• Professional demeanor and discretion in managing sensitive situations and information.
• Bonus: Familiarity with AI tools and technology integration.
Additional Details
• This position is based in Fort Lauderdale, Florida.
• Candidates may be required to supervise or collaborate with an existing part-time staff
member to optimize workflow and solve inefficiencies.
