Operations Support Specialist

 

Summary:

The Specialist provides customer service to vendors and customers and provides administrative support to the sales and production teams.

 

Pensacola, Fl. 

Monday - Thursday 8am-5pm, Friday 8am-4pm

$20.00 per hour

Essential Duties and Responsibilities include the following.

  • Provide consistent superb customer service to internal and external customers.
  • Job requires good time management skills and the ability to multi-task in a highly paced work environment.
  • Communicate regularly with customers and vendors by phone, email or in person.
  • Receive and processes incoming orders in industry specific software.
  • Schedule incoming and outbound freight as assigned.
  • Collect and record deposits, create and change customer/vendor records, and track purchase orders. Extensive working knowledge of Excel is required.
  • Assist with accounts receivable monitoring/follow up.
  • Assist with many company accounting functions.
  • Solicit bids for new or additional services or purchases.
  • Respond to inquiries concerning billing or products.
  • Organize and maintain file system, file correspondence files and other records.
  • Prepare and organize outgoing correspondence and samples.
  • Assist in planning and coordination of special events.
  • Monitor and manage social media accounts as assigned.
  • Assist with marketing projects as assigned
  • Assist management/sales teams with special projects as assigned.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

Education/Experience:

College degree required; minimum one-year related office experience and/or training; or equivalent combination of education and experience.

Extensive working knowledge of Excel is required.

Accounting or bookkeeping experience is a plus.

Experience in the industrial paper industry is a plus.

Experience in shipping/receiving and/or freight is a plus.

 

Language Ability:

Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals. Ability to write routine reports and business correspondence. Ability to speak effectively with customers, vendors or employees.

 

Math Ability:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent.

 

Reasoning Ability:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to prioritize duties with proven strong organizational skills. Ability to multi-task in a fast-paced environment. Ability to deal with problems constructively.

 

Computer Skills:

To perform this job successfully, an individual should have knowledge of Microsoft Word, Excel, Outlook and Project software. Background in other accounting software, inventory, manufacturing, order processing systems, project management systems a plus.

 

Physical Demands:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

The employee must occasionally lift and/or move up to 25 pounds. While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel and talk and hear. The employee is frequently required to stand, stoop and walk. The employee is required to reach with hands and arms regularly.

 

Work Hours

Normal work hours are Monday–Thursday, 8:00 a.m. to 5:00 p.m. and Friday 8:00 am to 2:00 pm, with one 45-minute break for lunch each day. Overtime work may be required from time to time.
