Stuart, FL

Full-Time (8:30 AM – 5:00 PM, Monday to Friday, in-office)
$20 - $25 per hour (based on qualifications and experience)

Position Overview:

Express Employment Professionals has been asked by one of our Martin County clients to hire an Administrative Assistant. The administrative assistant plays a key role in ensuring smooth daily operations, particularly during tax season. This position requires a professional individual with exceptional organizational skills, attention to detail, and the ability to work in a fast-paced environment. The ideal candidate is friendly, courteous, punctual, reliable, and a team player with a self-starter mindset. They must also possess strong verbal and written communication skills, be comfortable with technology, and able to work independently on assigned tasks.

The Administrative Assistant will report directly to the Firm Administrator.

Key Responsibilities

  • Front Desk & Client Interaction
    • Greet clients upon arrival.
    • Answer incoming phone calls and monitor messages when needed.
    • Record and track the intake and distribution of client documents.
    • Assist with new client onboarding, including creating ShareFile portals and maintaining virtual and physical client folders.
  • Administrative Duties
    • Maintain weekly office supply inventory.
    • Process outgoing mail and handle urgent deliveries to the post office.
    • Assist the Firm Administrator with tasks such as opening/sorting mail and processing credit card payments.
    • Assemble and distribute completed tax returns per written instructions.
    • Track incoming work (physical and electronic) with 100% accuracy.
    • Create and maintain client hard copy folders by tax year.
  • Client Communication
    • Notify clients of completed work and coordinate pick-up and payment.
    • Follow up daily on outstanding client documents and signatures.
  • General Office Support
    • Operate and maintain office equipment such as computers, copiers, and scanners.
    • Utilize and learn software including Excel, Word, Adobe, Outlook, and other applications as required.
    • Handle other duties as assigned.

  • Strong organizational and multitasking skills, with the ability to prioritize under pressure.
  • Competence with computers and various software programs.
  • Willingness to learn new tasks and processes.
  • Ability to work independently and take the initiative to complete tasks efficiently.
  • Experience using office equipment and software (Excel, Word, Adobe, Outlook).

Additional Requirements

  • Must be punctual, reliable, and willing to work assigned hours, including potential overtime during tax season.
  • Must not be employed by any other employer during the tenure of this role.
