Job Overview:
Our client, a premier landscaping and paver installation company based in Port St. Lucie, Florida, is seeking a highly organized and detail-oriented Office Administrator / Executive Assistant to the CEO to manage day-to-day office operations and provide executive-level support. The ideal candidate will thrive in a fast-paced environment, with a strong focus on scheduling, office organization, inventory management, and supporting the CEO with administrative tasks.

Key Responsibilities:
Office Administration:

Manage daily office operations to ensure the workplace is organized and functional.

Handle paperwork/filing for permits, Certificates of Insurance (COIs), vehicle registrations, and other insurance/liability items.

Serve as the primary point of contact for phone calls and emails, providing prompt responses.

Assist in onboarding new team members as the company continues to grow.

Collaborate with Operations & Site Managers to source supplies, manage vendor relationships, and negotiate pricing.

Maintain and update field workers’ schedules for seamless coordination.

Support the Operations Manager with the Repair Ticketing System to ensure swift response to on-site issues.

Keep internal systems and tools updated for efficient workflow.

Monitor and delegate inquiries from the company’s Microsoft Teams group chat.

Act as a brand ambassador by planning employee events and assisting with marketing and promotional projects.
Executive Support:

Maintain the CEO’s calendar using Microsoft Outlook, ensuring it is up-to-date and well-organized.

Schedule meetings with customers, vendors, and developers; occasionally stand in for the CEO as needed.

Prepare and send daily reports outlining business operations for the following day.

Escalate high-level customer requests to the CEO or Operations Manager for timely resolution.

Ensure the CEO’s company vehicle remains compliant with registration, renewals, and other necessary requirements.

Assist the CEO with special business-related projects and assignments as needed.
Required Skills & Abilities:

Exceptional verbal and written communication skills.

Strong project and time management abilities.

Proficiency in Microsoft Office 365.
- AP/AR experience
- Software Aspire/Inova preferred, not required

Ability to work in a fast-paced, constantly changing environment.

Team-oriented with a collaborative mindset.

Fluency in Spanish (preferred, but not required).
