Project Administrator

Atlanta, GA

18 month contract

$20/hr- $22/hr

Onsite: M-F, 8am-5pm

Summary

Provide administrative and secretarial support in achieving goals and objectives set forth by the business unit on the project site. Working independently, with minimal supervision, the project administrator shall act as required, but is not limited to the following:

Responsibilities:

  • Assist project manager and project team with administrative tasks on the project site.
  • Provide customer service to clients, architects, subcontractors and internal customers.
  • Answer all telephones. Handle calls if feasible or forward them to appropriate party. Take clear, concise messages.
  • Open, date stamp, prioritize and distribute all mail.
  • Post US mail. Take it to the Post Office or nearest mailbox
  • Set-up service and prepare packages for UPS or Federal Express shipment
  • Maintain a complete set of field office files (following the uniform filing system)
  • Maintain office equipment - telephones, copier, typewriter, mail equipment, faxes, etc.
  • Maintain adequate inventory of office supplies (including computer supplies)
  • Travel arrangements if necessary
  • Maintain coffee service (coffee, water, sugar, cream, tea, etc.)
  • Set-up business lunches (in and out of the office)
  • Greet people and screen visitors
  • Maintain telephone directories for project (emergency phone list, project directory, project staff)
  • Track attendance of all project personnel
  • Track insurance certificates and reports
  • Maintain confidentiality in all matters

Engineering (type, copy, distribute and file)

  • Miscellaneous Correspondence
  • Approval Letters
  • Modification Letters
  • Requisitions
  • Maintain project logs (Approval Letters, Transmittal Letters, CE Letters, Change Orders, Purchase Orders, etc.)
  • Change Orders
  • Meeting Minutes
  • Records Management - Order boxes, communicate with Main Office for carton numbers, and properly disposition of records.

Superintendent (type, copy, distribute and file)

  • Miscellaneous Correspondence
  • Meeting Minutes
  • Daily Construction Reports
  • Safety Program
  • Working knowledge of Microsoft Office including Microsoft Word, Microsoft Access, Excel, and PowerPoint.

Qualifications:

  • Prior experice as Construction Admin
  • Excellent communication skills
  • Ability to work with little supervision
  • Can take direction without follow up
  • Bachelor’s Degree (Preferred)
  • Proficient with MS Suite, specifically Excel/Outlook, Internet/Prolog
