Assistant Facilities Manager

 

Seeking a highly motivated Assistant Facilities Manager (AFM) to oversee preventative maintenance vendors and contractors, handle special assignment construction, maintenance, or design projects, act as the primary person to manage the conference room, events not related to venues, and student room reservation requests. The AFM creates reports and tracks capital expenses.

 

The AFM plays a key role in supporting the Facilities Manager (FM) and ensuring the smooth operation of campus facilities. In addition to the core responsibilities listed below, other duties may be assigned as needed.

 

  • Serve as the backup to the Facilities Manager in their absence, overseeing housekeeping, safety, and event management functions.
  • Assist the Executive Director with various tasks, including managing construction projects and performing administrative duties.
  • Oversee preventative maintenance (PM) programs by creating schedules, hiring contractors, inspecting work, ordering materials, coordinating vendor services, and handling billing and insurance documentation.
  • Research and identify vendors, solicit bids, and manage vendor relationships for ongoing projects.
  • Manage special assignment projects, from initiation to completion, including construction and maintenance project oversight.
  • Coordinate and oversee summer residence hall flips, including schedule management, inspections, work orders, vendor coordination, and billing.
  • Maintain and manage campus vehicles, including regular maintenance and proper tagging.
  • Develop and maintain training materials and continuity documents to ensure department-wide safety protocols and procedures are consistently followed.
  • Monitor and manage e-commerce activities and generate financial reports as needed.
  • Event space and conference room reservation management.
  • Conduct building and event inspections, compile punch lists, and ensure quality control standards are met.
  • Provide exceptional customer service to staff, residents, and visitors.
  • Create, track, and close work orders in the facilities management system.
  • Oversee key management procedures, ensuring security and proper documentation.
  • Conduct regular inspections of guest houses and address any maintenance needs.
  • Perform a variety of miscellaneous tasks, including cleaning when necessary, caring for plants (both interior and exterior), moving furniture for event setups, writing correspondence, making purchases, tracking orders, assisting with mailroom duties, and supporting data entry and filing activities. 

Required Qualifications:

Bachelor’s degree

Valid Driver's License

 

Minimum qualifications:

High-level of expectation for quality and work, eye for detail, logical organization skills, self-starter and time management

Working proficiency in the Microsoft suite

 

Additional Skills (Preferred, but not required):

  • Proficiency in AutoCAD or Revit for drawing and design work

 

Work hours: Mon-Fri 8am-5pm

Pay: $20hr
