Job Full Description

We are seeking an Administrative Assistant! 
 
Responsibilities include:
 
  • Reception-Answer Phones – Multi phone lines system
  • Order office / warehouse supplies
  • Filing
  • Update new customer information in SYSPRO when needed   
  • Process and oversee factor drop ships
  • Process transfers & communicate information
  • Assist with PO's for outside processing
  • Purchase order expedites
  • Obtain Factory Certs as necessary
  • Confirm material received in SYSPRO
  • Release sales orders-communicate any issues to sales
  • Attach outside documents in SYSPRO (PO certs, Resale certs, etc.)
  • Process credit cards 
  • Inventory adjustments in SYSPRO
  • Research and correct negative Bins 
  • Process Fabricated Jobs through WIP / LYNQ – WIP reporting system 
  • Handle commercial invoices for international shipment
  • Confirming invoicing daily in SYSPRO
  • Issue credits… freight, price discrepancies, billing errors, etc.…
  • A/P Invoice discrepancies
  • Maintain Petty cash & checks
  • Track and report consignment orders
  • Mailing Invoices daily
  • Process RMA's

Requirements

  • The ability to effectively communicate with staff at all levels. (Leadership, Shop/Production staff, Project Mgrs. team members and vendors)
  • High Intermediate/advanced data entry, computer skills and accurate keyboarding skills (Must have Word, Excel, Smartsheet & Powerpoint experience)
  • Knowledge of office management systems and procedures
  • Time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication
  • Strong organizational skills with the ability to multi-task
  • Ability to work well as part of a team, as well as independently
