Job Full Description

Express seeks an energetic and dependable person to fill a position as a Civil Clerk.

Compensation: $16.00 per hour

Schedule: Monday – Friday – 8:00 AM – 5:00 PM

Purpose: To provide administrative and clerical support to the Civil and Magistrate Courts.

Key Responsibilities

Customer Service

  • Provide information and assistance regarding court activities, services, procedures, documentation, fees, case status/disposition, and other issues.
  • Review and accept legal documents in accordance with court procedures and prescribed time frames.
  • Distribute forms and documentation; respond to routine questions or complaints; research problems/complaints; and initiate problem resolution.

Administrative and Clerical Support

  • Review incoming and outgoing documents for completeness and accuracy.
  • Process documents for filing as required in accordance with court rules.
  • Receive orders for files and records, research and retrieval; pull and deliver requested files and records.
  • Maintain integrity of unit record indexes and filing systems in both alpha and numeric formats.

Case File Management

  • Assemble, process, and/or receive case files.
  • Conduct research into missing information; create contact lists; record courtroom/trial dates.
  • Assign cases to appropriate judges; document assignments in shared spreadsheet; distribute file copies; and stamp/docket new paperwork.

Data Entry

  • Perform data entry in specialized program applications.
  • Scan, index, and record court case information and/or legal documents.
  • Audit and review data for accuracy; maintain accurate records and filing systems.

Form Processing

  • Process various forms that may be confidential or of a sensitive nature.
  • Handle criminal case files, civil case files, adoption case files, property records, applications, or other legal records.
  • Respond to court orders, deeds, citations, and other relevant documents regarding the court system.
  • File court records in accordance with court procedures; process disposed cases for archiving; help in assigned records room.

Payment Processing

  • Receive records and prepare receipts for payments of fines, fees, tickets, or other unit-specific payments.
  • Perform daily counting of cash drawer; balance all monies transacted.

Other Duties

  • Perform other duties of a similar nature or level as assigned.

Qualifications

  • Must have reliable transportation.
  • Must pass a background and drug screening.
  • High school diploma or GED is required.
  • 1+ years of customer service or administrative experience.
  • Experience in a public administration or legal setting is preferred.
  • Ability to review, classify, categorize, prioritize, and/or analyze data.
  • Ability to provide guidance, assistance, and/or interpretation to others regarding the application of procedures and standards to specific situations.
  • Proficiency in operating, maneuvering, and/or controlling the actions of equipment, machinery, tools, and/or materials used in performing essential functions.
  • Proficiency in Microsoft Office.
  • Ability to perform basic arithmetic operations.
  • Ability to apply principles of rational systems; interpret instructions furnished in written, oral, diagrammatic, or schedule form; exercise independent judgment to adopt or modify methods and standards to meet variations in assigned objectives.
  • Ability to exercise judgment, decisiveness, and creativity in situations involving evaluation of information against measurable or verifiable criteria.
  • Ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing, and/or pulling of objects and materials of light weight (5-10 pounds).
  • Tasks may involve extended periods of time at a keyboard or workstation.
  • Some tasks require the ability to communicate orally.
