Job Full Description
Hours: 7:30am – 4:30pm M-F
-Answer phones, schedule customers, and take payments – this is priority.
- Schedule and dispatch technicians.
- Confirm appointments for the next day
- -Enter new customers in T-sheets and QuickBooks daily. This is usually done after confirming appointments for the next day.
- Send review emails for the customers from day prior.
-Restock and refill coffee as needed throughout the day. Correspond with Five Star Foods as needed to schedule service for coffee machine or for product refills. Empty coffee pots at end of the day. On Fridays, run coffee parts through dishwasher at end of day.
-Restock drinks for crews in mini fridge in ice room as needed.
-Follow up with customers on estimates weekly to see if they would like to schedule.
-Keep up inventory - (t-shirts, hats, pens, tumblers, post cards).
-Filing - completed contracts, paid residential invoices, and paid statements daily.
- Run occasional errands as needed (i.e picking up supplies or cupcakes for birthdays, etc.)
-Gather trash on Wednesday afternoons and Friday afternoons.
-Attend Pooler Business Referral Team meetings on Tuesday mornings (paid) – 8am-930am.
-Mail checks, invoices, estimates and any other items as needed.
-Restock office supplies as needed: paper in printers, soap/toilet paper/paper towels in bathrooms, coffee cups/sugar/drink stirrers/creamer in break room. Candy bowl in front office as needed. Make sure crews have their supplies: pens, notepads, and highlighters. Let Kim or Meghan know of anything we need to order.
-Make sure copies are made for folders in hallway – Truck Maintenance forms, Time off Requests.
-Make Powerpoint presentations for Tanner for the Friday Safety Meetings. Keep a current sign in sheet for Friday meeting and print out on Thursday afternoons.
-New hire supplies: Gather 5 HPC shirts in requested size, HPC hat, tumbler and uniform policy. New hires with no plumbing experience will need a Material Study Book Binder created for them as well.
- Keep up with Truck Maintenance sheets that are filled out by the technicians every Monday. Keep up with and update the Oil Change Record for trucks – schedule truck/ van maintenance as needed/asked. Monday mornings send a list of any maintenance issues mentioned by the technicians.
- Throughout the month, keep track of all Return Calls – keep them current in spread sheet.
-Enter Supply House invoices and match invoice to pick up ticket. Monthly this will be paid by or on the 10th, print out check to be dropped off.
-Pay Supply house statements as asked/requested through QuickBooks and Supply House Websites.
-Keep track of Google Reviews. Enter technicians in monthly drawing for each review.
-Water plants in office as needed
-Submit water heater invoices to Contractor Rewards for rebates
-Schedule I.T. Repairs and troubleshooting through Mouse Pad as asked.
-Keep track of related ‘holidays’ with Plumbing and/ or office.
-i.e.: National Plumbers Day, National Boss’ Day, Hug a Plumber Day
-Take photos for social media when asked: of crews working in yard, safety meetings, crews washing vans, new tools/ material coming in.
- Send out monthly letters to new residents.
-Call customers for Water Heater Flush reminders and schedule.
-Upload new customer list into Constant Contact for newsletter
-Make folders (see through cover with prongs inside) for submittals and label with job name on side of folder w/ label maker
-Create folders as needed for new job accounts for supply houses
-Make signs for doors for important information for staff as asked. (i.e.: if office is going to be closed or for any treats in break room)
-Any cleaning needs if cleaners haven’t been in office – sweeping, mopping, and organizing
-Fill out white board with important information to be gone over on Friday meetings as asked.
-Follow up on unpaid invoices as asked.
HOLIDAY SEASONS: Help gather materials as needed.
January: moving files to needed spots, old files will be organized in boxes and set in the back of office.
February: Valentine goody bags.
March: Luck of the Irish – lottery tickets for everyone
June: Family Fun Day
August: may have something at office (Kona Ice typically)
October: Halloween goodie bags
November: Thanksgiving gift cards
December: Sweet Treat Wednesday / Holiday party
MONTHLY:
-Decorate office for holidays as asked. Keep track of all décor in organized boxes in the back for each holiday
-Pick up décor per request of management
-Keep track of what crews (plumber and apprentice) go into monthly drawing
-Drawings are at end of each month. Commercial crews get entered into drawing for passed inspections. Residential crews get entered into drawing for reviews and any passed inspections.
