Job Full Description
Rental Properties; Clerical/Property Admin - Hybrid Specialist
This is a fast-paced office with heavy multi-tasking with many tasks having many different due dates to keep tangible to. Position will have heavy phone; email communications and customer services including but not limited to move out walk throughs and statements, running applications for new tenants, running the in-house collections, managing the vacation rental by responding to inquiries, scheduling cleanings and maintenance and managing the calendars. Walkthroughs involve driving from our office to different properties to inspect for cleanliness, repairs, damages, etc. Taking photos, and detailed notes. Meeting with tenants to explain possible charges for damages/cleaning and enforcing our lease policies. Finalizing the move out paperwork and following up on any time sensitive items.

Day to Day Tasks could range from: Taking calls for service needs from current tenants, starting work orders, follow up and dispatching of work orders. Answer phone inquiries on available property for rent/showings. Scheduling property showing to prospective tenants. Collecting rental applications. Running rental applications. Typing up legal notices, meeting with tenants for move out walk-through and signing of documents. Meeting with tenants, collecting rent payments, updating spreadsheets, gathering market analysis of rental units. Reaching out to past tenants to try to collect on past debts.
Skills we are looking for.
- Must be comfortable driving into Spokane and Coeur d’Alene to do walk through’s (would be using a company vehicle)
- Very detailed oriented
- Understand individual situations and sense of urgency unique to each
- Heavy Customer Service
- Comfortable talking and meeting with unfamiliar people
- Ability to enforce our policies verbally and written
- Good Clear phone skills and note taking
- Has very good organizational skills
- Is very good with multi-tasking
- We need someone who has a good retention of details and recall of facts. Can remember items from weeks or months prior. Who can keep track of items that happen once a year or once per quarter
- Has strong computer basic skills and not just surfing the internet; they need to understand saving documents and storing files in a proper manner and getting around in the computer
- Strong experience with Excel; can create spreadsheets and work with formulas within spreadsheet
- Strong experience with Word, ability to type out and express thoughts on paper
- Can manage multiple tasks with different due dates and keep on target
- Can properly maintain a filing system/filing cabinet
- They need to work independently without needing their hand held at all the time, but they have to be able to adapt to KWI’s way of doing and work well with others who have been working together for many years.
- Must be able to walk up and down stairs, use a step stool, be on their feet for an extended amount of time, etc.
Monday – Friday 8am – 4:30pm with a 30-minute lunch.
