HR Assistant:
Support Human Resources Coordinator and may complete human resources duties at the plant, to include but not limited to employee recruitment, succession planning, safety, employee relations, employee rewards and recognition, employee benefits, compensation, workers compensation, policies and procedures, and training. Coordinates, weighs and directs truck drivers who may come to plant to transport/distribute food products.
Duties & Responsibilities
Essential
• Serve as gatekeeper, ensuring that visitors, contractors, customers, etc. sign in at front desk to ensure/enforce plant security.
• Assist with non-exempt employee recruitment and succession planning for non-exempt positions.
• In the absence or as requested by HR Generalist, conduct employment interviews and accompanying orientations for new employees.
• Assist HR Generalist with monthly safety meetings and safety committee meetings
• Oversee employee attendance progressive discipline and consult internally on other progressive discipline issues
• Assist HR Generalist/Director of Operations with scheduling and staffing needs
• Complete regular, weekly timecard audits in EmpowerTime time and attendance system.
• Assist HR Generalist upon request in carrying out company parties, BBQ’s, employee recognition and rewards, etc.
• Maintain personnel files (both active and terminated), medical and worker’s compensation/accident reports compliant with HIPPA, federal, and state guidelines.
• Ensure company policies, procedures, and job descriptions are accurate and up to date.
• Maintain compliance in governmental areas such as OSHA programs and reporting, workers compensation insurance, and unemployment, etc.
• Assist HR Generalist in ensuring all departments within the plant are complying with all employment laws and regulations.
• Assist HR Generalist with benefits administration programs, including ensuring that all new and open enrollments are completed timely and within allowable timeframe.
• Assist when needed with New Hire Orientation and training, to include Employee Handbook training and New Hire Packet.
• Enter all new hire paperwork into NAV; Ensure that Accounting Specialist is sent New Hire Information, Form W-4, and in some cases Direct Deposit request forms, including voided checks.
• Responsible for reviewing with said visitors, contractors, customers Visitor, GMP, and Confidentiality policies; maintain these appropriately on file as directed by Management. Equip these individuals with the appropriate Personal Protective Equipment (PPE), prior to entering the plant.
• Complete wide array of office related tasks including but not limited to the following: Managing and distribution of mail, answering multi-line phone system, distribution of faxes and personnel action forms, personnel file maintenance, Purchase Order and invoice processing, order and maintain office supplies inventories, make Shoes For Crews orders for employees, and run other Company errands as assigned.
• Weigh trucks and enter scale tickets into system; direct truck drivers to appropriate loading docks.
• Generate Bills of Lading (BOL’s) as trucks are loaded. Distribute BOLs to Customer Service once finalized, generally the next business day.
• Assist HR Generalist with SDS (formerly called MSDS) maintenance of books on plant premises.
• Ensure that front office areas are secured at close of business day, including locking of filing cabinets, HR file room, front desk window, logging off of company computer.
• Attendance is expected to be consistent and reliable.
• Maintain good personal hygiene with a professional appearance, follow GMP’s and maintain a clean, safe and sanitary workplace. Immediately report any situation that may cause product to be contaminated or compromised.
• Comply with plant security by ensuring that doors are locked and closed behind you. Report any suspicious activities to your Supervisor immediately. Enter only through the main reception area or other controlled entrances using the company issued Key FOB. The FOB shall not be lent to another person. In the event a key FOB is lost, report to Supervisor and/or Human Resources immediately.
Knowledge, Skills & Abilities
Essential
• Excellent verbal and written skills.
• Well organized and able to manage and prioritize multiple projects simultaneously.
• Proficient PC skills in MS Office and database management.
• Able to perform the essential duties and responsibilities with efficiency and accuracy.
• Able to travel to all areas of the plant efficiently, including climbing stairs.
• Must be able to lift up to 50 lbs., and may regularly stoop, sit for long periods of time, squat, bend, and kneel.
Associates Degree in Business; OR 2 year’s related experience and/or training; or equivalent combination of education and experience in a food manufacturing environment
