We have been asked to help a non-profit in Noblesville that works with victims of domestic violence find an Operations Assistant to join their team. In this role, you will provide comprehensive support in facility management, compliance, and HR as well as overseeing volunteer programs and community projects.

 

This is an evaluation, contract-to-hire job opportunity paying $20.00 per hour.

 

What are Your Responsibilities as the Operations Assistant?

 

Human Resources:

  • Coordinate and assist hiring teams with recruiting, including posting jobs, scheduling, and candidate communication.
  • Conduct new employee orientations and manage offboarding processes.
  • Assist with benefit enrollments and administration, including reviewing monthly insurance billing.
  • Support staff development days through planning, implementation, documentation, scheduling, and ordering supplies.
  • Maintain continuing education documentation for all staff.

Facility Management:

  • Manage facility maintenance requests, telephone systems, security systems, and related documentation.
  • Update and train staff on the VOIP telephone system.
  • Coordinate community projects related to the facility.

Financial Management:

  • Reconcile credit card statements and maintain accurate records.
  • Enter deposits into QuickBooks and assist with month-end closeout.
  • Manage grant reporting documentation.

Volunteer Program:

  • Recruit volunteers through social media and events.
  • Conduct initial volunteer interviews and coordinate orientations.
  • Maintain volunteer files and track volunteer hours.

Compliance:

  • Coordinate staff and compile documentation for peer reviews and audits.
  • Assist in updating policy manuals and implementing new compliance requirements.
  • Collect and manage documentation for performance reviews, background checks, and continuing education.

Education and Awareness:

  • Represent the agency in public and private presentations to raise awareness and educate on victim-related issues.
  • Provide and support primary prevention education to community members and professionals.

What Qualifications Will You Have as the Operations Assistant?

  • Education: High School Diploma.
  • Experience: 3 years in an administrative assistant role.
  • Skills: Proficiency in Outlook, Word, Excel, and Publisher.
  • Characteristics: Adaptability, initiative, innovation, stress tolerance, high work standards, teamwork, planning and organization, judgment, communication skills, problem-solving, client service, and follow-up.
