Job Full Description
We are seeking an Administrative Assistant for a municipal organization in Acton, MA. This position is responsible for providing administrative, clerical, and financial support to the Accounting & Finance department.
Responsibilities:
- Collect payments, conduct bank transfers, reconcile deposits and prepare receipts and certificates
- Coordinate employee benefits
- Screen and direct calls, visitors, and mail, addressing routine inquiries independently
- Maintain appointment schedules, coordinate meetings, and arrange travel for department staff
- Prepare correspondence, reports, agendas, and meeting minutes with accuracy and attention to detail
- Maintain and manage filing systems, ensuring confidentiality of department records
- Track budgets, monitor expenditures
- Prepare & process payroll, track time-off records
- Manage accounts receivable
- Prepares department’s accounts payable for processing
- Support grant applications, compile information, and conduct research
- Manage office supplies and coordinate purchasing
- Liaise with IT consultants for technical support and maintain department web pages
Requirements:
- Associate’s degree in finance, accounting, public or business administration, or a finance-related field required; Bachelor’s degree preferred.
- Minimum of three years of administrative experience in an accounting, finance or payroll organization
- Previous experience in Accounts Payable, Accounts Receivable or other accounting experience strongly preferred
- Proficiency in Microsoft Office Suite, databases, spreadsheets, and office equipment.
This is part-time position for 20 hours per week with flexible hours. The pay range is $26.50/hr - $28.50/hr.
