Job Full Description
We are seeking an Office Coordinator for a home health care services company in Littleton, MA. The Office Coordinator serves as the central hub for a home health agency, managing caregiver scheduling, supporting field staff, coordinating client intake, and overseeing daily office operations.
Responsibilities:
- Manage and maintain the caregiver schedule, ensuring optimal client-caregiver matches based on location, availability, and care needs
- Act as the primary point of contact for field staff, providing assistance with timekeeping, mobile app usage, and day-to-day questions
- Coordinate logistics for new client starts, care team assignments, and time-off requests
- Support compliance by ensuring staff certifications and documentation are current
- Maintain accurate records and documentation related to scheduling, care plans, and team communication
- Answer incoming phone calls and conduct initial intake for new clients, gathering information and coordinating next steps
- Respond to last-minute changes and coordinate backup coverage as needed
- Track and follow up on aging accounts receivable and support billing processes
- Assist with general office operations, including filing, supply ordering, and communication with external vendors
- Identify opportunities for process improvement and assist with implementing new systems or procedures
- Collaborate with leadership to ensure smooth and effective operations across the team
Requirements:
- High school diploma or equivalent required; associate degree or higher in healthcare administration, business, or related field preferred
- At least 3+ years experience in administrative, office coordination or customer service experience required
- Prior experience in service-based scheduling preferred
- Previous experience in home care and healthcare a plus
- Strong MS Office (Excel, Word) skills required
The hours for this position are Mon-Fri 9AM-5PM. The pay range is $50,000-$70,000 per year depending on experience. This is an in-person position for at least the first year with opportunity for hybrid/remote after the first year.
