Interim Events Coordinator Job Summary:

The Advancement Department is seeking an Interim Events Coordinator to join its team from January to August 2025. This part-time, non-exempt position will provide key support in organizing and executing events within the department. The ideal candidate will have event planning experience, a strong attention to detail, and the ability to work with a variety of people and situations. The position requires a self-motivated team player with excellent critical thinking and problem-solving skills.

Interim Events Coordinator Responsibilities:

    • Plan and execute key events, following provided guidelines
    • Work with staff to coordinate logistics, catering, décor, AV equipment, and other necessary arrangements for school and off-site events.
    • Coordinate donor lunches and meetings, providing food and necessary arrangements.
    • Communicate with donors and Advancement staff to ensure appropriate materials are available.
    • Coordinate volunteers for student lunches and ensure proper setup and student attendance.
    • Oversee the appearance and décor of the Hospitality House, ensuring it is maintained and updated as needed.
    • Report any maintenance issues to the supervisor.
    • Coordinate off-site event logistics, including venue communication, menu planning, and event-day coordination.
    • Create detailed event schedules, handle RSVPs, and manage guest communications.
    • Provide support to the Advancement Department with event-related marketing materials.
    • Maintain detailed procedures for job-related activities and ensure smooth transitions if temporary or permanent replacements are necessary.
    • Perform other duties as assigned by the supervisor.

Schedule & Pay:

  • Flexible schedule based on events, 28-30 hours per week
  • Contract Period: January 2025 – August 2025
  • $20-$30, BOE

Interim Events Coordinator Qualifications:

  • Bachelor’s degree preferred.
  • Experience planning and hosting events for an organization.
  • Proficient with database navigation and management.
  • Strong critical thinking, problem-solving, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Loyal and supportive of the organization's mission.
