Summary:

This position is responsible for answering and directing incoming calls to the appropriate associates and welcoming guests to the company facility. This position also provides entry-level administrative assistance to the Global Admin team.

 

CONTRACT ONLY - MUST BE OKAY BEING A LONG TERM TEMP

 

Schedules Available: 

M-F 8:30-5pm

M-F- 9am-3:00pm

Part-Time: 8:30am-12pm M-F or 12pm-5pm M-F

 

 Primary Responsibilities:

Daily:

  • Answer multi-line telephone for North America headquarters and transfer calls appropriately.
  • Electronic distribution of daily USPS mail.
  • Receive visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately (as needed: creating and issuing visitor badges, welcome board, and intranet posting).
  • Closing duties:  main phone line, dishwasher, lobby, Executive coffee station.
  • Maintains security by following procedures and monitoring visitor logbook. 

Weekly (or as needed):

  • Organize/maintain Corporate office storage areas, mailroom, and lobby.
  • Maintain Reception directories and instructions.
  • Entering and receiving office supply orders.
  • Other administrative duties and general clerical support (FedEx labels, plant watering, travel itineraries).

  •   Communicate clearly and concisely with internal and external customers at all levels of the organization, using verbal and written distribution channels.
  •   Optimizes organizational effectiveness and prioritizes workload, even with multiple interruptions.
  •   Friendly and welcoming disposition; adjusts promptly and calmly to change/pressure; works well as part of a team; a high degree of diplomacy and tact when dealing with different cultures.
  •   Strong understanding and practices regarding confidentiality and data privacy.

 

Required Qualifications:

  •   Reception or Administrative support or experience.
  •   Associate degree preferred (unless experience is 10+ years).
  •   Proficiency in Microsoft Office (Excel, Word, Outlook), and familiarity with One Drive, SharePoint.
  •   Accurate proofreading and grammar skills with strong attention to detail.
  •   Ability to work independently and handle numerous responsibilities at once.
  •   Strong communication and interpersonal skills.

 

Physical Requirements:

  •   On-site attendance
  •   Ability to move about inside the office to access/use file cabinets or office machinery.

 

Work Environment:

  •   This job takes place in a professional office environment and routinely uses standard office equipment.
  •   Office employees are only required to wear safety glasses, safety shoes, and a highly visible vest when in Production areas and Laboratories.
