Part-Time Front Office Coordinator (25 Hours/Week)
Salary: $18 per hour
Reports To: Franchisee/Manager
Position Summary:
The Front Office Coordinator (FOC) is the face and voice of our office, serving as the first point of contact for visitors, applicants, and clients. This role plays a vital part in creating a positive and professional impression of the organization. The FOC ensures the front office runs efficiently by answering calls, greeting visitors, managing applicant flow, and assisting with general office administration. The ideal candidate will be friendly, organized, and detail-oriented, thriving in a fast-paced environment while supporting the overall goals of the team.
Key Responsibilities:
Reception & Customer Service
- Serve as the first point of contact for all in-person, telephone, and electronic inquiries with a professional and warm demeanor.
- Greet visitors and applicants promptly, creating a welcoming office atmosphere.
- Answer telephone calls efficiently (by the third ring) and direct inquiries appropriately, ensuring all interactions are courteous and professional.
- Document and respond to all inquiries, ensuring accurate information is logged into the automated system.
- Monitor and respond to online applications daily, ensuring applicants are acknowledged promptly.
Applicant Flow & Recruiting Support
- Review incoming applicants for potential job fit and coordinate interview scheduling with Employment Specialists.
- Maintain an efficient applicant flow, ensuring interviews are scheduled and completed in a timely manner.
- Administer and guide candidates through skills evaluations, offering clear instructions and encouragement.
- Assist with recruiting initiatives, such as following up with candidates and maintaining candidate pipelines.
Office Administration
- Enter accurate data from employment applications and other documentation into the automated system.
- Prepare correspondence, handle mailings, and update office records as needed.
- File and organize applications, timecards, and other documents securely to ensure confidentiality.
- Monitor and maintain office supplies, ensuring the front office remains clean, organized, and functional.
- Support payroll collection by gathering timecards and processing accurately.
- Assist the team with general administrative tasks to support office operations.
Inside Sales Support
- Assist with inside sales efforts by making appointment-setting calls and outreach for Most Placeable Candidates (MPCs) as directed.
- Convert Employment Verification calls into opportunities for recruiting or business development.
Compliance & Professional Conduct
- Conduct all activities in line with company guidelines, industry best practices, and state/federal employment laws.
- Maintain confidentiality and professionalism when handling sensitive applicant and client information.
- Develop a solid understanding of the services provided by the office to ensure accurate communication with clients and candidates.
Qualifications:
- High School diploma or equivalent; some college coursework preferred.
- Prior administrative, customer service, or front desk experience preferred.
- Strong verbal and written communication skills.
- Excellent organizational abilities and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to learn and effectively use office systems and software.
- Positive, team-oriented attitude with the ability to multitask in a fast-paced environment.
- Strong problem-solving skills and ability to manage priorities.
Working Conditions & Physical Requirements:
- Primary work performed in a professional, climate-controlled office environment.
- Ability to sit for extended periods, answer phones, and operate a computer.
- Occasional standing, walking, and light lifting (up to 20 pounds).
- Flexibility to work 25 hours per week, including some flexibility in scheduling to accommodate office needs.
