Shipping job description:

Purpose

To provide detailed instructions for processing shipments efficiently and accurately.

Responsibilities

The shipping clerk is responsible for packaging, labeling, and processing shipments to ensure they are prepared correctly and on time.

Procedure

1. Review Production Ticket

  • Inspect the production ticket to verify the following details:

    • Correct part number

    • Quantity of items

    • Production ticket number

    • Box type

2. Check for Special Instructions

  • Review the production ticket for any special instructions regarding packaging or labeling.

  • Follow the production ticket's guidelines to prepare shipping labels.

    • Note: Special labels for international exports may be prepared by the office.

3. Stage Packages for Pickup

  • Once packaging and labeling are complete, stage the packages in the designated area for pickup by the appropriate carrier.

 

Receiving job description:

Purpose

To outline the procedures for receiving vendor materials efficiently and accurately.

Responsibilities

The receiving clerk is responsible for receiving, inspecting, labeling, shelving, and processing packing slips for materials delivered by vendors.

Procedure

1. Receive Materials

  • The clerk verifies the quantity of materials received to ensure it matches the packing slip and checks for any visible damage.

  • The packing slip is removed, and the quantity is confirmed again against the packing list.

  • Using the FACTS system, the clerk locates the purchase order (P.O.) and confirms that the packing list matches the system's P.O. details.

  • If no P.O. exists in FACTS, the clerk enters the material information and quantities received into an Excel file named "Daily Receipts," which is used exclusively by the shipping department.

2. Record Packing Slip Details

  • The clerk enters the packing slip information into the FACTS system.

  • Key details such as the P.O. number, part number, and quantity received are identified and marked on the packing slip (e.g., circled).

  • Once processed, the packing slip is placed in a designated tray to be sent to the office.

3. Special Handling Instructions

  • AG and FLO Materials: A copy of the packing list is attached to the material along with any certifications provided.

  • ALM Materials: An inventory card is filled out for tracking purposes.

  • Tomco/ACE Materials: The part number is identified on the package before being placed in stock.

4. Placement of Materials

  • The receiving clerk follows instructions regarding material placement:

    • If directed to place materials into inventory locations, an inventory card is attached to each item.

    • If materials require review by the slitting department, they are placed in a general area for review, and slitting personnel will attach inventory cards after inspection.

5. Final Step: Storage

  • All materials are placed in their appropriate inventory locations based on instructions provided.
