Job Title: Executive Administrative Assistant

 

Location: Edison, NJ (5 communities) and Piscataway, NJ (1 property)

 

Reports To: Vice President, Director of Leasing and Marketing

 

Job Summary: We are seeking a highly organized and versatile individual to join our team as an Executive Administrative Assistant & Assistant Property Manager. This dual-role position supports the Vice President and Director of Leasing and Marketing while also assisting with property management duties for six communities totaling approximately 2,000 apartments. The ideal candidate will excel in administrative tasks, property management, customer service, and HR functions. Bilingual proficiency in English and Spanish is required. This is a temporary position that will last no less than 90 days for the right fit.

 

Duration: 3-6 month contract (While current rep is on FMLA leave)

Pay: $29/hr

Schedule: M-F from 8:30am - 4:30pm

 

Key Responsibilities:

Executive Administrative Assistant Duties:

  • Provide comprehensive administrative support to the Vice President, Property Manager, and Director of Leasing and Marketing.
  • Provide comprehensive support to the leasing department and property manager.
  • Manage calendars and schedule meetings.
  • Prepare and edit correspondence and reports.
  • Handle confidential information with discretion.
  • Organize and maintain files and records.
  • Assist in the preparation of lease agreements and other legal documents.

 

Human Resources Functions:

  • Assist in the recruitment and onboarding of new employees.
  • Maintain employee records and ensure compliance with HR policies.
  • Process weekly and bi-weekly payroll.
  • Manage employee time off requests.
  • Coordinate training and development programs.
  • Handle employee inquiries and provide support on HR-related matters.

Qualifications:

  • Bachelor's degree in Business Administration, Property Management, or a related field preferred.
  • Minimum of 3-5 years of experience in administrative support and property management.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite and property management software.
  • Ability to handle sensitive information with confidentiality.
  • Strong problem-solving skills and attention to detail.
  • Bilingual proficiency in English and Spanish.

Working Conditions:

  • Full-time position with occasional evening or weekend work as needed.
  • Travel between properties in Edison and Piscataway, NJ.
