Administrative Assistant
Location: Ronkonkoma, NY
Pay Rate: $20-22/hour
Schedule: Saturday (7:00 AM – 12:00 PM), Tuesday – Friday (7:00 AM – 3:00 PM)

We are seeking an adaptable and professional Administrative Assistant to join our team in a vital support role within our small, family-oriented company. As an Administrative Assistant, you will be responsible for managing day-to-day office operations, including QuickBooks order entry, invoicing, and various administrative tasks. Your ability to stay organized and manage multiple priorities will be key to your success in this role. You will work closely with the team to ensure smooth operations, assisting with both routine and ad-hoc tasks.

Key Responsibilities:

  • Order Entry & Invoicing:
    Accurately enter customer orders into QuickBooks, ensuring that all information is correct and up-to-date. Prepare and send invoices in a timely manner, track payments, and follow up on any outstanding balances. Maintain organized records of transactions for easy retrieval and reporting.

  • General Administrative Support:
    Perform a wide range of office tasks, such as answering phone calls, responding to customer emails, scheduling appointments, and providing clerical assistance. Support the team with various administrative projects as needed.

  • Utilize Microsoft Office Suite:
    Use Microsoft Word, Excel, and Outlook to draft documents, manage spreadsheets, and communicate with customers and vendors. This may include preparing reports, handling correspondence, and maintaining databases.

  • Customer Service & Communication:
    Act as a point of contact for customers, providing excellent service over the phone and via email. You will assist customers with order inquiries, product information, and delivery schedules.

  • Maintain Office Organization:
    Ensure that office supplies are stocked and organized, and that filing systems (both physical and digital) are maintained in an orderly fashion. This will also involve managing inventory records and assisting with shipments and deliveries when needed.

  • Assist with Special Projects:
    Provide support to management and other team members with special projects, such as data entry, market research, or administrative tasks related to the company’s growth and operations.

  • Ad-hoc Duties:
    Assist in other tasks as needed to ensure the smooth and efficient operation of the office and farm.

Qualifications:

  • Experience with QuickBooks:
    Previous experience with QuickBooks for order entry and invoicing is preferred but not required. A willingness to learn and adapt to QuickBooks is essential.

  • Proficiency in Microsoft Office Suite:
    Must be comfortable using Microsoft Word, Excel, and Outlook for various administrative duties.

  • Excellent Organizational Skills:
    Strong attention to detail and the ability to handle multiple tasks at once in a fast-paced environment.

  • Communication Skills:
    Strong verbal and written communication skills are required, as you will interact with both customers and team members regularly.

  • Positive, Professional Attitude:

  • Ability to Work Independently:
    While you'll be part of a close-knit team, the ability to manage tasks on your own and stay organized is key.

  • Customer Service Experience:
