Job Title: Admin Assistant/Data Entry
Location: Southampton, NY
Full-Time: 40 hours/week, Monday-Friday, 8:00 AM - 5:00 PM (Flexible start time based on need)
Salary: $25-$26/hour

Position Overview:
We are seeking an organized, detail-oriented, and proactive Admin Assistant/Data Entry professional to support our growing team in Southampton, NY. This role involves a variety of administrative and data entry tasks, including timekeeping, QuickBooks, and light HR-related duties, as well as supporting Account Managers with phone calls, ordering office supplies, and general office administration. The ideal candidate will have a strong attention to detail and the ability to work independently while contributing to team efforts. Bilingual skills are a plus but not required.
Key Responsibilities:
  • Data Entry:
    • Enter timesheet information for crew members (start and finish times) into pre-made spreadsheets.
    • Enter data related to NYS highway use tax reports, ensuring accuracy and compliance.
    • Record job task details, including addresses, services provided, and notes regarding job progress.
  • QuickBooks:
    • Data entry related to QuickBooks (training provided).
  • Account Manager Support:
    • Provide administrative support to Account Managers on-site.
    • Make phone calls on behalf of Account Managers as needed.
  • Office Administration:
    • Order office and inventory supplies, ensuring purchases stay within budget.
    • Handle incoming calls and inquiries.
    • Manage filing and document organization.
    • Assist with light HR-related tasks, such as onboarding paperwork.
  • Software & Technology:
    • Use Aspire software (training provided).
    • Proficient with general office software and willing to learn new software as necessary.
Qualifications:
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritize effectively.
  • Experience with data entry and basic accounting (QuickBooks experience a plus but not required).
  • Comfortable using computer software, with a willingness to learn Aspire software.
  • Bilingual skills are helpful but not required.
  • Strong communication skills (both verbal and written).
  • Ability to work independently and as part of a team.
