Assistant to President – Direct Mail/Marketing Agency
Location: Deer Park, NY
Type: Full-Time | Competitive Salary: $65,000/year
Schedule: Monday – Friday, 7:30 AM – 3:30 PM
An award-winning Integrated Marketing Agency with a printing and mailing facility in Deer Park, NY is seeking a dynamic and detail-oriented Assistant to the President to join our team. This is a unique opportunity to step into a pivotal role and work directly with the President, a seasoned expert deeply committed to the company’s success. The ideal candidate will help streamline operations and enable the President to focus on high-level growth strategies.
About the Role:
In this crucial role, you’ll serve as the right-hand person to the President, working closely with them to manage day-to-day operations while overseeing key projects. You'll be an integral part of the team, ensuring that the President’s goals are supported through your ability to manage a variety of tasks, including production, direct mail processing, staff management, and ensuring all operational processes run smoothly. Understanding the President’s work ethic and gaining his trust will be vital to your success.
Key Responsibilities:

Assist the President in Strategic and Daily Operations:
Support the President in driving business growth, managing day-to-day tasks, and overseeing production schedules. Help with internal communications, scheduling, and managing priorities to ensure that projects are completed on time.

Production and Direct Mail Management:
Manage the production process for direct mail campaigns, ensuring quality control from start to finish. Oversee physical printing processes, letter shop services, and mailing software such as Mail Manager. Ensure compliance with postal regulations and help troubleshoot production-related challenges.

Staff Management & Collaboration:
Manage a diverse staff involved in production and mailings, fostering an environment of collaboration and effective communication. Work closely with other departments to ensure all projects are executed smoothly and efficiently.

Problem Solving & Process Improvement:
Creatively solve problems as they arise and contribute ideas for improving operational processes. Help streamline workflow to increase productivity and ensure client satisfaction.

Data Processing & Reporting:
Assist with processing data related to direct mail campaigns and ensure that information is accurate and well-organized. Track campaign metrics and provide the President with timely updates and reports.

Client & Vendor Interaction:
Handle client communications, assist in managing relationships, and coordinate with external vendors, including print and promotional companies, to ensure quality service and timely delivery.
What We’re Looking for:

Experience and Skills:
-
3-5 years of management experience in a production, marketing, or print-related field.

Strong data processing skills related to direct mail and mailing software.

Solid understanding of postal regulations and direct mail operations.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Gmail.

Experience with printing and mailing processes, including knowledge of physical print, printing shop operations, and letter shop services.

Experience with Mail Manager or similar mailing software is a plus.
