Job Full Description
Job Title: Office Administrator
Location: Jacksonville, North Carolina
Schedule: Part-Time (up to 30-hrs weekly) with flexible scheduling
Position Overview: The Office Administrator reports directly to the Executive Director and will play a crucial role in ensuring the smooth and efficient operations of office. This position involves a variety of administrative tasks, supporting staff, Directors, and programs, and maintaining a welcoming environment for visitors and stakeholders. The ideal candidate will be detail-oriented and proactive.
Key Responsibilities:
- Manage office operations, including reception duties, mail distribution, and office supply inventory.
- Provide administrative support to staff, including scheduling meetings, preparing documents, and recording meeting minutes
- Assist in the organization and conduct of conferences, events, and workshops.
- Maintain accurate records and databases, including member/investor and stakeholder information.
- Support financial operations by processing invoices, managing petty cash, and assisting with budgeting and reporting.
- Manage and maintain business financial bookkeeping
- Work closely with our CPA and Auditor
- Handle communication with stakeholders, including responding to inquiries and providing information about our programs and services.
- Ensure compliance with organizational policies and procedures.
Qualifications:
- High-School Diploma or GED equivalent minimum
- Recommended 2+ years of experience in an administrative role, preferably within a nonprofit or community-focused organization.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks accounting software
- Proficiency in customer relationship management products.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively as part of a team.
