Overview
We are seeking a motivated and organized Administrative Support Specialist. This role involves managing a variety of administrative tasks, including anwsering phone calls, processing invoices, managing estimates, and facilitating orders for material like glass, Eze breeze, motorized screens, and acrylic jobs. The ideal candidate will assist with estimates, ensure accurate record keeping, and maintain communication with customers and internal teams to ensure smooth operations.
Duties
- Manage office operations and maintain an organized front desk.
- Handle incoming phone calls with professionalism and excellent phone etiquette.
- Perform clerical duties including filing, data entry, and document management.
- Proofread documents for accuracy and clarity before distribution.
- Utilize computer software for scheduling, correspondence, and record-keeping.
- Assist in the preparation of reports and presentations as needed.
- Coordinate meetings and appointments, ensuring all necessary materials are prepared in advance.
- Maintain an efficient filing system for easy retrieval of information.
- Support team members with various administrative tasks as required.
Qualifications
- Strong organizational skills and attention to detail
- Experience in administrative roles, including managing invoices and estimates
- Ability to communicate with internal teams, customers and external vendors
- Profinciency in Microsoft Office Products and Quickbooks
- Prior experience in construction, window, or screen-related industries is a plus.
