Express Employment is seeking reliable and detail-oriented Property Manager Assistant to support the daily operations of residential or commercial properties for our top clients. Key Responsibilities:
- Tenant Relations:
- Serve as a point of contact for tenants, responding to inquiries, concerns, and maintenance requests.
- Assist with lease renewals, lease terminations, and other tenant documentation.
- Coordinate and facilitate move-ins and move-outs, including inspections and necessary paperwork.
- Ensure that tenants comply with building rules and regulations.
- Communicate regularly with tenants to address any issues and maintain positive relationships.
- Property Maintenance and Inspections:
- Assist the Property Manager with regular property inspections to ensure the property is well-maintained.
- Coordinate routine and emergency maintenance requests with vendors and contractors.
- Keep records of all maintenance activities, ensuring work is completed to standards and within budget.
- Assist with vendor management, including obtaining bids and scheduling work.
- Leasing and Marketing:
- Help advertise available units by creating and posting listings on websites, social media, and other platforms.
- Assist with scheduling property showings and following up with prospective tenants.
- Prepare leasing documents and assist in the application process, including screening potential tenants.
- Assist in setting and adjusting rental rates based on market trends and property conditions.
- Administrative Support:
- Maintain and update tenant and property files, ensuring accuracy and confidentiality.
- Assist in preparing reports, including rent roll, budget tracking, and maintenance logs.
- Prepare and send out tenant notices, including rent reminders, late payment notices, and general communication.
- Track and assist in processing rent payments, including handling any issues related to billing or collections.
- Assist with managing vendor contracts and ensuring timely payment for services rendered.
- Financial Support:
- Help maintain financial records, including tracking rental income, operating expenses, and other financial transactions.
- Assist with budget preparation and review to ensure cost-effective property management.
- Assist in processing invoices, and provide support with rent collection efforts.
- Help prepare financial reports as requested by the Property Manager or ownership.
- Compliance and Legal:
- Stay up-to-date with local, state, and federal regulations related to property management, including fair housing laws.
- Assist with compliance audits and ensure that all legal documentation is properly filed.
- Help ensure that the property adheres to safety and health standards.
Qualifications:
- Education: High school diploma or equivalent required; Associate’s or Bachelor’s degree in business, real estate, or a related field preferred.
- Experience: 1-3 years of experience in property management, leasing, or a related administrative role preferred.
- Skills:
- Strong communication and customer service skills.
- Excellent organizational and time-management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and property management software (e.g., Yardi, AppFolio, Buildium, or Rentec Direct).
- Familiarity with property accounting software for rent collection, budgeting, and financial reporting.
- Basic knowledge of CRM (Customer Relationship Management) tools to track tenant communications and lead follow-ups.
- Ability to handle confidential information with discretion.
- Strong attention to detail and problem-solving skills.
- Licensing: A valid Oklahoma Real Estate License is required.
