Overview:
We are seeking a highly organized and customer-focused Front Office Coordinator to join our HVAC team. This critical role is the first point of contact for clients and is responsible for ensuring smooth office operations, including scheduling, project tracking, and payment collection.
Key Responsibilities:
- Answer and manage all incoming calls with professionalism and a customer-first attitude
- Schedule service calls, estimates, and installation appointments
- Coordinate calendars and dispatch technicians efficiently
- Track ongoing project statuses and communicate updates to customers and the team
- Collect payments and maintain accurate customer account records
- Perform basic bookkeeping tasks, including invoicing and expense tracking
- Maintain digital and paper records in an organized and confidential manner
- Support general administrative tasks as needed
Qualifications:
- Prior experience in a front desk, scheduling, or administrative role (HVAC or home service industry preferred)
- Excellent communication and customer service skills
- Proficient in Microsoft Office and scheduling software (e.g., ServiceTitan, Housecall Pro, or similar is a plus)
- Strong organizational and multitasking skills
- Dependable, detail-oriented, and able to work independently
Compensation:
Competitive pay based on experience. Includes opportunities for bonuses based on performance.
