Job Title: Office Manager & Payroll Specialist
Location: Prineville
Job Type: Full-Time (34 hours)
Start Date: April 17, 2025
Overview: We are seeking a detail-oriented and highly organized Office Manager with strong bookkeeping and payroll experience. In this role, you will handle a variety of administrative, financial, and payroll duties to support our team and clients. You will play a key role in maintaining accurate financial records, processing payroll, and assisting with day-to-day office functions.
Key Responsibilities:
- Payroll:
- Process payroll for multiple business clients, ensuring accuracy and compliance with local, state, and federal regulations.
- Bookkeeping:
- Maintain accurate records of financial transactions including general ledger entries.
- Reconcile bank statements, credit card statements, and other financial accounts.
- Prepare and process monthly and quarterly financial reports, including balance sheets and profit & loss statements.
- Prepare and file payroll taxes and ensure timely payments to relevant authorities.
- Office Management:
- Oversee day-to-day office operations, including handling phone calls, emails, and client inquiries.
- Manage office supplies, inventory and ensure a well-organized, efficient workspace.
- Administrative Support:
- Process electronic filing of tax returns and monitor status.
- Communicated with clients regarding billing, financial questions, or other administrative matters.
- Support with general administrative tasks, such as filing, correspondence, and document management.
- Ensure the office maintains a positive, professional atmosphere.
Qualifications:
- Proven experience in bookkeeping and payroll processing (2+ years preferred). Knowledge of payroll systems and tax compliance.
- Proficiency with accounting software (QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook). No tax experience necessary.
- Excellent organizational, time-management, and multitasking skills.
- Strong attention to detail and ability to maintain confidentiality.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- A positive attitude and proactive problem-solving approach.
Education:
- High school diploma or equivalent required.
- Associate’s degree or certification in accounting, finance, or related field preferred.
