Job Full Description

The Service Writer is responsible for managing customer service in an automotive repair setting. This role involves greeting customers, assessing their automotive needs, and facilitating communication between customers and technicians. The Service Writer ensures that all service transactions are smooth, efficient, and satisfactory to the customer.

Key Responsibilities:

  • Customer Interaction: Greet customers upon arrival, assess their automotive needs, and provide accurate information about services offered.
  • Service Recommendations: Analyze customer concerns and recommend appropriate services based on assessments, vehicle history, and diagnostic information.
  • Estimates and Invoicing: Prepare, present, and explain service estimates to customers. Process repair orders and ensure customers are informed about the status of their vehicles during service.
  • Work Order Management: Create and maintain service orders; accurately document customer requests and technician notes.
  • Coordination with Technicians: Communicate customer needs to the service technicians clearly and ensure that all necessary parts and services are supplied for repairs.
  • Follow-Up: Maintain contact with customers throughout the service process and follow up post-service to ensure satisfaction and address any further concerns.
  • Sales Support: Promote additional services and products that could benefit the customer''s vehicle maintenance.
  • Record Keeping: Manage and maintain customer files, maintenance records, and warranty information accurately.
  • Problem Resolution: Address customer complaints and work towards a satisfactory resolution; ensure customer loyalty and repeat business.
  • General Administrative Tasks: Assist in scheduling appointments, managing the service department’s calendar, and performing clerical duties as needed.

Qualifications:

  • Education: High school diploma or equivalent; automotive industry experience preferred.
  • Experience: Previous experience in an automotive service role, customer service, or sales is highly desirable.
  • Skills: Strong verbal communication skills, ability to multitask, basic computer proficiency, and customer engagement techniques.
  • Knowledge: Familiarity with automotive repair and maintenance services is a plus; knowledge of service management software can be beneficial.
