Position Summary:
The Customer Service Representative will provide a high level of customer service and professionalism to ensure customer satisfaction and maintain the company’s reputation for excellence. This role requires engaging with business-to-business (B2B) clients, primarily waterworks distributors, handling inbound inquiries, and managing customer accounts. The ideal candidate will be highly skilled, possess a strong ability to multitask, and demonstrate a commitment to going above and beyond in a small, team-oriented environment.
Key Responsibilities:
- Respond to customer inquiries via phone and email, providing information on pricing, lead times, and product availability.
- Maintain accurate customer account information and correspondence logs.
- 10-20 calls daily, potentially increasing to 50-60 in peak seasons
- Resolve customer complaints by investigating issues, identifying solutions, implementing corrections, and following up to ensure resolution and satisfaction.
- Process returns, shipments, account adjustments, and invoicing.
- Quote products such as Drain Basins and EZ Tees using Sage 300 ERP and collaborate with engineering on civil drawings as needed.
- Troubleshoot non-technical issues, such as order delays, shipment discrepancies, and back orders.
- Escalate complex issues to appropriate personnel when necessary.
- Notify Production or Purchasing departments of shortages to ensure supply chain continuity.
- Manage customer communications, including sending updates and notifications.
- Assist with administrative tasks such as receipt matching, data entry, and Excel-based reporting.
Skills & Preferred Qualifications:
- Proficient with Microsoft Office Suite, particularly Excel.
- Experience with Sage 300 ERP is preferred but not required.
- Knowledge of the waterworks or supply chain industry is a plus.
- Self-motivated with a willingness to go above and beyond to meet team goals.
- Bachelor's degree preferred, with 2-3 years of customer service experience required.
- Proven ability to deliver high-level customer service (demonstrate charisma and professionalism).
- Exceptional communication skills, both verbal and written, with a professional email tone.
- Strong problem-solving skills and the ability to adapt to a fast-paced environment.
- Highly organized with excellent time management and multitasking abilities.
