Job Full Description

We are looking for a full time Front Office Coordinator.

To be successful in this role, you need to be a multi-tasking rock-star and enjoy people. You will be tasked with handling the phones, walk-ins, email communications, supplies of all sorts, and maybe even some accounting functions. And through it all you must be able to deal with it in a calm and professional manor. First impressions are important, we need you to make a good one for the company! 

Your workday might look like this

Reception Duties

  • Answering and directing phone calls to appropriate personnel.
  • Greeting and assisting visitors and ensuring a welcoming atmosphere.
  • Sorting and distributing incoming mail and packages.
  • Managing lobby and conference rooms to ensure areas are clean and orderly.
  • Scheduling and coordinating meetings as needed.
  • Attend to general office issues, scheduling maintenance or repairs.

Administrative Tasks

  • Maintaining and updating office documents and records as directed.
  • Ordering and managing office supplies and equipment.
  • Assisting with the preparation of reports, presentations, and spreadsheets.
  • Coordinating with vendors and service providers as necessary.
  • Assisting other departments with administrative tasks as needed.

Internal Marketing Assistant

  • Assist with employee inquiries, providing support and resources as needed.
  • Promote initiatives aimed at boosting overall employee morale.
  • Support HR with light marketing projects, i.e. flyers, brochures, and newsletters.
  • Organizing and managing company job photo.
  • Monitoring company websites, job postings and social media profiles for necessary updates.
  • Creating and scheduling social media posts to promote company activities and achievements.
  • Assisting with the organization and promotion of company events and functions.
  • Represent the company’s values and culture, both internally and externally, by promoting a positive and inclusive work environment.
  • Assist with other projects as needed

Required Qualifications

  • Previous experience in an administrative or office coordination role, preferably within the construction industry.
  • Desire to think creatively and research new ideas or solutions.
  • Proficiency in office software, including Microsoft Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills and a proactive attitude.
  • Strong organizational and multitasking abilities.
  • Attention to detail and problem-solving skills.
  • Familiarity with social media platforms and basic content creation.

You’ll really stand out if you

  • Previous experience with marketing, design or social media management.
  • A passion for fostering a supportive work environment.
  • The ability to speak both English and Spanish.
