Job Full Description
We are looking for a full time Front Office Coordinator.
To be successful in this role, you need to be a multi-tasking rock-star and enjoy people. You will be tasked with handling the phones, walk-ins, email communications, supplies of all sorts, and maybe even some accounting functions. And through it all you must be able to deal with it in a calm and professional manor. First impressions are important, we need you to make a good one for the company!
Your workday might look like this
Reception Duties
- Answering and directing phone calls to appropriate personnel.
- Greeting and assisting visitors and ensuring a welcoming atmosphere.
- Sorting and distributing incoming mail and packages.
- Managing lobby and conference rooms to ensure areas are clean and orderly.
- Scheduling and coordinating meetings as needed.
- Attend to general office issues, scheduling maintenance or repairs.
Administrative Tasks
- Maintaining and updating office documents and records as directed.
- Ordering and managing office supplies and equipment.
- Assisting with the preparation of reports, presentations, and spreadsheets.
- Coordinating with vendors and service providers as necessary.
- Assisting other departments with administrative tasks as needed.
Internal Marketing Assistant
- Assist with employee inquiries, providing support and resources as needed.
- Promote initiatives aimed at boosting overall employee morale.
- Support HR with light marketing projects, i.e. flyers, brochures, and newsletters.
- Organizing and managing company job photo.
- Monitoring company websites, job postings and social media profiles for necessary updates.
- Creating and scheduling social media posts to promote company activities and achievements.
- Assisting with the organization and promotion of company events and functions.
- Represent the company’s values and culture, both internally and externally, by promoting a positive and inclusive work environment.
- Assist with other projects as needed
Required Qualifications
- Previous experience in an administrative or office coordination role, preferably within the construction industry.
- Desire to think creatively and research new ideas or solutions.
- Proficiency in office software, including Microsoft Office (Word, Excel, Outlook).
- Excellent communication and interpersonal skills and a proactive attitude.
- Strong organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Familiarity with social media platforms and basic content creation.

- Previous experience with marketing, design or social media management.
