Job Full Description
The Accounting Specialist works under direct to general supervision collects, reviews, and prepares accounting information and financial reports to established guidelines and procedures.
Accountabilities Include:
Performs Essential Job Duties
- Prepare daily deposits and scan documents related to the Medical and Dental practice management systems.
- Perform the cash receipt posting into the accounting system daily for EFT, lockbox and clinic deposits.
- Responsible for accounts payable and associated duties including verifying that invoices, statements, and purchase orders match.
- Ensures that all proper approvals have been obtained utilizing organization's internal policies and procedures.
- All general office duties including the filing of all paperwork.
- Understands the accounts payable cycle and manages weekly deadlines for posting adjustments and making payments.
- Reconciles monthly cash summaries with daily deposits from the medical and dental systems.
- Performs data entry relative to designated accounts utilizing organizational structure.
- Verifies, allocates, and posts details of business transactions to subsidiary accounts in journals or computer files from documents such as invoices, check stubs, and computer printouts.
- Performs defined analyses and routine internal audits of business transactions posted to the general ledger for accuracy, quality, and completeness.
- Performs analyses to identify trends and make recommendations based on interpretations.
- Assists with process improvement activities.
- Verify contract payments according to contract limits or payment schedules.
- Assists with annual audits, Federal reviews, cost reports, and any other external compliance reports that the CFO or supervisor may ask for assistance with.
- Keeps up to date on new accounting rules, standards, and procedures and informs the accounting department and implements any changes.
- Answers telephones, e-mail correspondence, handles other correspondence, fills documents, and complies with records retention policies including the annual destruction deadlines.
- Completes assigned trainings via the learning module system (Relias) by required due date.
- Other duties as assigned.

Must be able to communicate, and work well with coworkers, patients, and others outside the office. Attend & participate in department/center-wide meetings as required to develop and maintain professional working relationships.
Qualifications:
Must be able to interact with a variety of individuals at various levels under stressful circumstances while exercising sound judgement, tact, and diplomacy; work productively both independently and in a team setting; communicate with clarity, both verbally and in writing to groups and individuals.
Education and/or Experience:
Required:
- Minimum: High School Diploma or General Education Diploma (GED)
- Three years of experience and training in a financial setting; or,
- Combination of education and experience in a financial setting.
- Working knowledge of Microsoft Word, Excel and Outlook
- Basic computer knowledge
- Ability to type at the rate of 30 – 45 wpm
- Excellent interpersonal communication and problem-solving skills
- Skills to intervene and promote reconciliation, compromise and positive outcomes in difficult interactions
Preferred:
- Skilled at using an Accounting software
- Intermediate Excel
- Intermediate Word
Language Skills:
Must have the ability to communicate with clarity, both verbally and in writing; read, analyze, and interpret complex documents, regulations, policies, and procedure manuals; and create professional business documents. Preferred bilingual English/Spanish.
