Job Full Description
The Executive Assistant provides high-level administrative support to the Senior Leadership team by handling communications, preparing documents, and overseeing various logistical tasks, requiring a high degree of confidentiality and strong organizational skills to effectively prioritize and manage complex responsibilities.
Responsibilities:
• Provide exceptional service, greetings, information, and assistance to visitors.
• Prepares for all customer and site visits per procedure. This includes being responsible for or delegating (as needed for breaks & lunch) any guests or hosting employees' needs during the visit.
• Address customer inquiries or direct them to appropriate staff.
• Assist with scheduling meetings, booking conference rooms, and coordinating office events.
• Oversee special projects or administrative initiatives.
• Track and follow up on tasks and deadlines.
• Support Program management and cross-functional coordination.
• Schedule appointments and maintain calendars.
• Manages office supplies and first aid supplies.
• Responsible for ordering Prizes for monthly meetings and tenure awards.
• Manage incoming calls, emails, and messages.
• Handle mail, packages, and deliveries.
• Responsible for keeping monitors updated with “Hot Topics” and the latest communications.
• Maintain postage meter.
• Performing minor accounting admin duties: Alphabetize purchase orders, highlight purchase order number & put in numerical order.
• Providing administrative assistance, such as writing and editing e-mails, drafting memos and flyers, and preparing communications on behalf of the leadership team.
• Maintaining comprehensive and accurate records.
• Other admin and duties as required.
