Job Full Description

Job Title: Office Specialist- Bilingual

Job Summary:
The Office Specialist serves as the primary point of contact for visitors and phone inquiries. This role supports the organization by managing mailings, data entry, and various administrative tasks essential for achieving the mission of supporting individuals with intellectual and/or developmental disabilities in an atmosphere of dignity and respect. This is a full time position, Monday-Friday 8am to 5pm. The starting wage is $20.36!

Key Responsibilities:

General Administration (100% of tasks include these elements):

  • Uphold ethical and professional conduct standards.
  • Ensure regular, reliable attendance and prompt participation in meetings.
  • Maintain respectful communication with coworkers, clients, and stakeholders.
  • Support a positive work culture focused on organizational goals and mission.
  • Maintain confidentiality and complete documentation accurately and on time.
  • Keep the reception area and office facilities clean and professional.

Communication (35% of workload):

  • Greet visitors and answer phones promptly and courteously.
  • Manage incoming and outgoing mail and generate mailings.

Personal Support Worker (PSW) Support (10% of workload):

  • Monitor and process PSW documentation, including driver’s licenses and insurance.
  • Assist applicants with completing required provider documentation.

PSW Payroll (25% of workload):

  • Route timesheets to appropriate personnel.
  • Verify approved billings through the State’s payment system.

Data Processing and Systems (25% of workload):

  • Create and maintain forms and databases as needed.
  • Digitally store records and process information changes.
  • Enter weekly billable encounters in the State’s data system and generate notifications.

Team and Back-Up Support (10% of workload):

  • Manage office supplies and conduct monthly inventory checks.
  • Provide back-up support for office team members, including criminal history record checks and special projects.
  • Ensure the functionality of office equipment and maintain cleanliness in shared spaces.

Required Qualifications:

  • Strong clerical skills, including typing, filing, and managing multi-line phones.
  • One year of experience or education in building and maintaining computerized databases.
  • Proficiency in Microsoft Excel and Word.
  • Ability to pass a Criminal History Check and meet State requirements.
  • Valid driver’s license, reliable transportation, and ability to travel locally and regionally.
  • Effective communication skills, including working with individuals with intellectual and developmental disabilities.
  • Experience in filing, answering phones, and providing excellent customer service.
  • Ability to multitask, remain calm under pressure, and work independently.
  • Strong organizational skills, attention to detail, and confidentiality.

Preferred Qualifications:

  • Proficiency in additional software programs and digital filing systems.
  • Fluency in Spanish.

Work Environment:

  • Primarily office-based, with occasional local and regional travel.
  • Typical office noise and activity levels, with shared office space.
  • Exposure to weather conditions and the need to transport work-related materials.

Physical Requirements:

  • Ability to lift up to 10 lbs.
