Executive Director

Job Summary:
Under the general direction of the Board of Directors, the Executive Director is responsible for overseeing daily operations, financial management, personnel, and community relations. This role provides strategic leadership to ensure operational efficiency, financial stability, and compliance with organizational policies and community needs. The Executive Director attends all Board Meetings and reports directly to the Chairman of the Board. This is a part time position 20 hours a week! The wage is $25 an hour!

Key Responsibilities:

Operations:

  • Supervise administrative staff and ensure proper record-keeping and file maintenance.
  • Establish and maintain comprehensive and current operational records.
  • Approve all facility rentals and oversee private office rentals.
  • Ensure statutory compliance, facility safety, and security.
  • Manage the maintenance of buildings and grounds.
  • Develop and write grant proposals, track progress, and report results.
  • Evaluate programs to ensure alignment with the organization’s mission.
  • Monitor contract compliance.

Financial Management:

  • Develop and manage the annual operating budget.
  • Oversee billing, accounts payable, accounts receivable, and assist the Board Treasurer in preparing financial reports.
  • Approve purchases up to $150 and obtain Board approval for expenses exceeding this amount.
  • Seek new funding sources and support fundraising initiatives.
  • Ensure financial reporting, tax payments, and fiscal responsibilities are completed on time.

Personnel Management:

  • Hire, train, and oversee key administrative and operational staff.
  • Vet and oversee volunteers, including conducting background checks as required.
  • Match volunteers’ skills to appropriate roles.

Community Relations:

  • Serve as the primary contact for community service and fundraising efforts.
  • Maintain strong relationships with agencies and businesses.
  • Promote the organization’s mission, programs, and activities through marketing and outreach.

Qualifications:

  • 2-4 years of experience in operations management, leadership, or nonprofit administration.
  • Strong knowledge of business management principles and human resource policies.
  • Excellent leadership, interpersonal, problem-solving, and conflict resolution skills.
  • Ability to establish and enforce policies and procedures.
  • Strong written and verbal communication skills.
  • Must pass a background and reference check.

Education & Skills:

  • High school diploma required; Bachelor’s degree or equivalent management experience preferred.
  • Proficiency in Microsoft Office Suite (Excel, Word).
  • Preferred knowledge of PowerPoint, QuickBooks, and website maintenance.
