Job Full Description
The Event Coordinator is responsible for all aspects of banquet services, special events for members and internal social events. The event coordinator develops contracts for and oversees all administrative and operational aspects of preparing and selling events. Works with management, dining, kitchen and other departments to ensure guest expectations are exceeded.
Essential Job Functions:
- Be the “Face” of representation of events through all interactions
- Responsible for making sure all event sheets and estimate of charges (EOC) are complete, accurate and given out in a timely manner.
- Communicates any upcoming events that event sheets may not be complete but gives management, the kitchen and the restaurant an idea as to what to expect.
- Communicates verbally and on the event sheet any changes to events after the initial EOC has be issued.
- In the absence of management, acts as lead for special events-communicate and coordinate with client or member.
- Communicates with client/member all room layouts (with diagram) and gives detailed instructions on room set-up to management and restaurant staff.
- Communicate room set-up with client/member the day of the event.
- Communicates any special requests including dietary needs and allergies with management and kitchen manger.
- Must be able to work any days, any hours, including nights, weekends & holidays (within reason).
Job Tasks/Duties:
- Promotes, advertises and markets the social event facilities and capabilities to all appropriate parties.
- Assists members in arrangements for all events being held in the event rooms.
- Works with the Food and Beverage Manager to determine selling prices, menus and other details for catered events.
- Reaches out to promote the banquet facilities to the public for meetings, parties, events, etc.
- Continuous contact with reoccurring events (at least once per month).
- Makes sure all special linens are ordered for events and ensures linens are delivered to include extra house linens if needed.
- Maintains master calendar and function book.
- Assists in developing and creating flyers, invitations and other necessary promotional material for sponsored events.
- Use social media to communicate with and advertise special events
- Attend all appropriate sub-committee meetings
