Job Title: Executive Administrative Assistant to the President
Location: Hybrid (Mix of Onsite and Remote)
Schedule: Monday - Friday, 7am - 4pm
Pay: $30 - $40/HR
The Executive Administrative Assistant to the President will serve as a trusted partner and an extension of the President and their senior leadership team. This role supports the daily activities and strategic business goals.
Essential Duties and Responsibilities:
- Act as the primary point of contact for the President, addressing internal and external queries and escalating them to the appropriate members of staff.
- Maintain complete confidentiality at all times.
- Provide consistent, high-quality administrative support to the President using sound judgment in managing a variety of routine and non-routine problems and situations independently.
- Manage the President’s calendar and daily schedule, ensuring the most efficient use of time through a detail-oriented and forward-thinking approach.
- Serve as a liaison between the President and other key members of management, employees, leadership staff, and outside contacts related to company activities.
- Organize and prioritize assignments to ensure timely and accurate completion of work.
- Design and develop PowerPoint presentations, organization charts, Word documents, and Excel spreadsheets for both internal and external audiences as requested.
- Arrange virtual and onsite meetings including logistics, agenda, meeting notes, and follow-ups; make travel arrangements and process expense reports in a timely manner, ensuring strict adherence to company travel policy.
- Develop and maintain efficient filing systems to ensure files and emails are accurately maintained, archived, and readily available.
- Prepare accurate drafts and final documents from rough copy, proactively identifying any issues, problems, or inconsistencies within the material.
- Provide support for a variety of department projects and initiatives as directed by the President.
Minimum Qualifications:
- Minimum of 7 years of administrative assistant experience with at least 5 years supporting senior (C-Suite) executives.
- Advanced computer skills in Microsoft Office Suite (Word, Excel, and PowerPoint) required.
- Excellent customer service skills and good written and verbal communication skills.
- Ability to maintain complete confidentiality and work well in a dynamic environment with changing and competing priorities.
- Detail-oriented, proactive, and self-directed.
