Job Title: Administrative Support Specialist
Job Description: We seek a dedicated Administrative Support Specialist to join our client's operations team. The successful candidate will take scale weights, enter scale tickets, and provide comprehensive administrative support across all departments within the operations office.
This is a part-time evaluation of the hire position.
Schedule: Monday through Friday, 10 AM-2 PM, sometimes until 4 PM when needed. During peak season, July through August, the schedule will be full-time.
Job Functions:
- Assist driver at the scale, print tags, record weights, and enter scale tickets.
- Data entry of sub-contractor information and payments.
- Enter scale returns and make data entry corrections as needed.
- Complete a daily scale audit to ensure accuracy.
- File outbound paperwork, scan and upload documents into the system.
- Assist in resolving invoice discrepancies.
- Assist with monthly physical inventories by entering count data.
- Effectively and efficiently multitask (process tickets, answer phones, take weights).
- Greet incoming visitors, answer phones, and direct as necessary.
- Mail packages by creating online postage and scheduling pickups.
- Perform any other duties as assigned.

- Timely follow-up on any pending issues.
- Accuracy when entering data into various systems
- Flexibility in coverage
- Friendly contact for drivers and inventory team.
Must-Have Processes for Top Initial Priorities:
- The employee will work with the Inventory Team and Press Supervisors to develop an understanding of the processes needed to accurately complete tasks in Oracle and Excel, such as filling out compressor slips and understanding dashboards.
- Shadow Inventory team to understand how inventories are processed and completed.
Knowledge, Skills, Abilities, & Other Qualifications:
- 2 years of experience working in a professional office environment.
- High school diploma or equivalent.
- We must be able to use Oracle and Excel efficiently.
- Proficient in various computer applications, including MS Office (Excel, Word, Outlook).
- Organized, focused, and has a structured system to meet deadlines.
- Self-starter with the ability to work in a fast-paced team environment.
