Express Employment Professionals Specialized Recruiting Group is seeking a full time Executive Assistant. Our client is a nonprofit based in University City that advances science and healthcare innovation, uplifts communities and improves lives. This position is hybrid, 3 days a week in-office and 2 days a week remote.
The Executive Assistant will serve as a trusted point of contact for internal and external stakeholders of the Department, and is responsible for providing administrative, clerical and project support to the CEO, Chief of Staff, and Chief Medical Affairs Officer. The Executive Assistant is a key member of the department and will promote the highest level of efficiency through effective executive and departmental support, including day-to-day administrative assistance as well as support for special and/or recurring event and program activities. This position performs complex and confidential administrative functions to ensure assigned department operations flow smoothly. The Executive Assistant also serves as a key communicator within the department and to external parties. This position will also maintain, update, and leverage the (Salesforce) CRM database, and performance reporting efforts for the department and the wider organization.
The Executive Assistant will report directly to the Chief of Staff and take direction of daily and special work duties as appropriate from other members of the department; and participate in department activities as necessary or appropriate.
Essential Functions
- Manage Executive Department calendars and scheduling and make arrangements for meetings, etc., as requested, representing the department to internal and external clients.
- Process invoices, receipts, and documents, as related to expense reports.
- Manage scheduling, correspondence, and documentation for Board meetings and Board committee meetings.
- Serve as a trusted point of contact, as and when appropriate, for internal and external stakeholders of the department.
- Perform general administrative and clerical duties including expense and credit report preparation for the CEO, Chief of Staff, and Chief Medical Affairs Officer, managing incoming and outgoing department mail, copying, faxing, filing, correspondence, and travel arrangements for the department.
- Support coordination of all operational issues for all executive-level meetings, programs, events, or conferences.
- Manage departmental contacts and other data input and collection in the CRM platform.
- Leverage the Salesforce CRM platform to support department efforts through activities such as entering and updating information, generating reports, correspondence to donors, and other basic documents.
- Schedule interviews as directed.
Experience, Education, and Licensure
Minimum Experience: 3-5 years of related experience supporting executives in a professional environment.
Minimum Education: High School Diploma or GED required; BA/BS degree or some college is preferred.
